The Patient Service Representative I is responsible for creating the initial electronic health record, which forms the foundation of the patient's medical record used by the entire healthcare team. This role is critical in preventing duplicate medical records, ensuring patient safety by positively identifying patients before care delivery, and maintaining compliance with organizational and regulatory mandates. Key duties include checking in and registering patients, accurately obtaining and verifying demographic, guarantor, and insurance information, and discussing/collecting co-pays and other patient financial responsibilities to ensure timely payment and prevent billing issues. The representative must maintain strict confidentiality in accordance with HIPAA, understand various insurance plans (commercial, government, managed care, Medicare, Medicaid), and know when to refer patients to Financial Advocates. They are also responsible for enforcing and complying with government agency regulations such as HIPAA, EMTALA, Consent for Treatment, Patient Rights, IMM, MOON, Notice of Privacy Practices, MSPQ, and ABN, and obtaining necessary patient/guarantor signatures. Additional responsibilities may include scheduling appointments, coordinating cancellations/reschedules, providing detailed patient information (test preparations, arrival times, directions), and offering extraordinary customer service by greeting patients and visitors, answering phones, and assisting with transportation, directions, wheelchairs, or interpreter services. The role also involves monitoring and managing electronic health record work queues.
