About The Position

This position is responsible for processing patient information through dental and medical information software systems, handling payments, and managing daily office duties. This includes reviewing treatment plans, explaining insurance details, confirming appointments, and answering incoming calls. The role supports Variety Care's commitment to patient-centered medical home principles and the 'Triple Aim' of healthcare reform.

Requirements

  • High School Diploma or GED.
  • Ability to pass a competency test.
  • Bilingual (English/Spanish).
  • Legible handwriting and basic mathematic skills.
  • Experience within the public.
  • Experience with simple data entry and basic keyboarding knowledge.
  • Customer service experience.
  • Experience handling confidential information.
  • Experience working in an active and stressful environment.
  • Able to lift a minimum of 25 pounds.
  • Able to sit for long periods of time.

Nice To Haves

  • Basic knowledge of dental terminology.
  • Basic knowledge of the process of dental procedures.
  • Experience communicating with patients and staff.
  • Experience working with difficult patients from time to time.

Responsibilities

  • Receives patients at the reception window and obtains required information/documentation at check-in.
  • Obtains and updates financial and family information, including address, phone, insurance coverage, and date of birth for each patient.
  • Updates patient information and makes necessary changes in electronic medical records.
  • Verifies SoonerCare and other insurance information daily to ensure patients are covered before receiving treatment and do not exceed their benefit maximums.
  • Verifies insurance for new patients and arranges payment for services.
  • Sends predeterminations to insurance to ensure payment of services.
  • Schedules patient appointments in electronic medical records according to scheduling rules.
  • Reads clinical notes to schedule next appointments when a patient calls.
  • Monitors the schedule to ensure maximum utilization of providers.
  • Answers calls for the location.
  • Calls patients to remind them of upcoming appointments or to reschedule.
  • Briefs patients about their benefits.
  • Creates and explains treatment plans to patients.
  • Posts charges and payments at check-out.
  • Verifies late or open balances and reminds patients of outstanding balances.
  • Assists patients with balance owed questions via billing assistance.
  • Accepts payments and ensures daily collections are secured.
  • Balances daily transactions.
  • Maintains order in the waiting area.
  • Notifies appropriate staff of any issues with office equipment.
  • Provides back-up and overflow coverage for Front Office Telephone Operators.
  • Supports Variety Care's accreditation as a Patient Centered Medical Home and commitment to providing Safe, Effective, Patient Centered, Timely, Efficient, and Equitable care.
  • Works with staff to achieve the goals of the 'Triple Aim' of healthcare reform.
  • Performs other duties as assigned.
