About The Position

The Patient Service Representative I (bilingual required) is responsible for answering telephones, scheduling appointments, obtaining patient information, preparing charts for examination, and collecting and securing payments at patient check-out. This role also provides back-up and overflow coverage for Front Office Telephone Operators. The position supports Variety Care’s commitment to providing safe, effective, patient-centered, timely, efficient, and equitable care, aiming to improve the patient experience, health outcomes, and decrease healthcare costs.

Requirements

  • High School Diploma or GED.
  • Legible handwriting and basic mathematic skills.
  • Ability to work with the public.
  • Ability to enter simple data and basic keyboarding knowledge.
  • Ability to communicate with patients and staff.
  • Trustworthy handling of confidential information.
  • Ability to work in an active and stressful environment.
  • Ability to work with difficult patients from time to time.
  • Bilingual (English/Spanish) required.

Nice To Haves

  • One or more years of clerical experience.
  • One or more years of customer service experience.

Responsibilities

  • Receives patients at the reception window.
  • Obtains required information/documentation from patients at check-in.
  • Obtains and updates financial and family information for each patient visit, including address, phone, insurance coverage, and DOB.
  • Updates information and makes necessary changes in the electronic medical records.
  • Schedules appointments in the electronic medical records.
  • Posts charges and payments at the time of check-out.
  • Verifies late or open balances and reminds patients of outstanding balances.
  • Assists patients with balance owed questions via billing assistance.
  • Accepts payments and assures daily collections are secured.
  • Balances daily transactions.
  • Ensures the waiting area is kept in order throughout the day.
  • Calls custodial staff as needed for assistance.
  • Follows HIPAA guidelines and Variety Care Privacy policy and procedure.
  • Ensures office equipment is in good working order and notifies appropriate staff of any problems.
  • Accepts direction from the Practice Administrator or Physician on staff.
  • Supports Variety Care’s accreditation as a Patient Centered Medical Home.
  • Provides leadership and works with staff to achieve the goals of the “Triple Aim” of healthcare reform.
  • Embodies personal character, is an open and honest communicator with high moral and ethical conduct, integrity, adaptability, and sound judgment.
  • Acts as a leader in the department and community.
  • Performs other duties as assigned.
