About The Position

Under the supervision of the Practice Manager, the Patient Service Coordinator III (PSC III) oversees all administrative operations of the Pulmonary Program. This role provides dedicated support to physicians within the Pulmonary group and serves as the primary liaison between patients and providers, ensuring seamless communication and coordination of care. The PSC III reports directly to the Administrative Manager of Pulmonary Associates.

Requirements

  • High School Diploma or Equivalent required
  • office experience 3-5 years required
  • Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint
  • Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Ability to proofread and edit written documents.

Responsibilities

  • Provide support and information to providers to resolve complex administrative patient issues.
  • Serve as a resource for patients regarding HMO, Managed Care, and third-party insurance plans, including referral processes.
  • Act as the first point of contact for patients, addressing inquiries, offering guidance, and coordinating communication with providers.
  • Maintain patient confidentiality and privacy in accordance with HIPAA guidelines.
  • Coordinate scheduling for consultations, follow-up visits, diagnostic testing, and procedures.
  • Track and manage referrals for appointments and follow-up care.
  • Provide cross-coverage for other staff within the Pulmonary Division during absences, vacations, or workflow fluctuations.
  • Schedule post-discharge follow-up visits with appropriate providers.
  • Manage patient records, prior authorizations, and insurance documentation in compliance with institutional policies.
  • Monitor and manage incoming faxes and related documentation.
  • Scan documents into electronic medical records and upload imaging disks to the system.
  • Assist with training and orientation of new staff, where applicable.
  • Perform additional tasks to support patient flow and enhance service quality.
  • Other Duties as assigned.
