  • Experience in patient check outs including follow ups and recall management (Preferred)

Responsibilities

  • Create new patient profiles in EPIC.
  • Register patients in Cadence (Epic Hyperspace) according to registration standards.
  • Input electronic referrals in Epic Referral Management and update them according to triage.
  • Scan referrals into Epic with appropriate naming conventions.
  • Schedule new patients from workqueues based on priority and wait times.
  • Schedule return patients from recall lists and follow-up workqueues according to required follow-up dates.
  • Schedule interpreters for families as needed.
  • Schedule clinic orders and manage order workqueues.
  • Greet patients and parents, verify demographic information according to registration procedures.
  • Interpret MOH Eligibility and make necessary updates in patient records.
  • Collect self-pay payments and complete Fee For Service forms.
  • Collect fees as required.
  • Complete check-outs, schedule follow-up appointments, or place patients on recall lists/workqueues.
  • Monitor all workqueues and recall lists within the primary work area to ensure quality and report outliers and changes to the waitlist to the supervisor.
  • Implement visit cancellations and rebookings in consultation with clinical staff.
  • Receive incoming telephone calls and respond to patient inquiries, contacting clinic physicians, nurses, and allied health team members as appropriate.
  • Communicate with the clinical team through In-basket.
  • Handle telephone communication and messaging within CHEO's established policies and procedures.
  • Conduct telephone pre-visit screening for infection control.
  • Utilize Epic to notify clinicians of patient arrival.
  • Manage appointment confirmation and follow-up from the automated system.
  • Direct patients/families to designated locations within the hospital.
  • Request patient files from medical records as appropriate.
  • Ensure progress notes and sheets are available and stamped with the correct date, where required.
  • Pick up patient charts from medical records daily, ensuring all charts are available and requesting missing ones.
  • Maintain an inventory of stock.
  • Maintain filing, ensuring orders with notes are filed and locating old charts as appropriate.
  • Manage maintenance and ordering of clinic supplies.
  • Facilitate clerical duties related to equipment repairs, including filling out special forms and transporting equipment to the appropriate location.
  • Retrieve labels for specimens.
  • Orient volunteers.
  • Orient clerical staff to clinics and on Epic.
  • Perform work in accordance with the Occupational Health and Safety Act and Regulations and all CHEO corporate/departmental policies and procedures related to Occupational Health and Safety.
  • Perform work in accordance with CHEO privacy and confidentiality policies.
  • Perform work in accordance with Epic training and documented standards.
  • Attend staff meetings when scheduling allows and review circulated minutes.
  • Perform other related duties as assigned by the supervisor.
