About The Position

This position is responsible for patient contacts for new patient appointments, recalls, no-shows, rescheduled appointments, follow-up appointments, and “lost” patients who have not been seen in more than a year, while ensuring the patients have a pleasant scheduling experience. Medical Translation Spanish Certification (CHI or CMI) is valued and considered for additional compensation. A background check will be performed with an offer of employment.

Requirements

• High School Diploma or equivalent.
• Three years of experience in a customer service role.
• Ability to handle extensive phone work
• Ability to learn medical practice protocols and the EHR scheduling system
• Knowledge of customer service principles and techniques
• Ability and desire to learn medical terminology
• Knowledge of basic math and modern office procedures
• Ability to multitask effectively, dealing with phone calls to and from patients, and others in the office in a pleasant manner
• Ability to communicate calmly and clearly with patients about appointments in all circumstances including when they are ill or have an emergency, and without taking offense
• Ability to analyze situations and respond appropriately
• Ability to maintain confidentiality regarding patient records

Responsibilities

• Makes and takes call with courtesy and compassion, and informs patients of visit requirements.
• Facilitates patient flow and communicates changes with patients and clinical staff.
• Explains financial requirements to the patients or responsible parties.
• Schedules appointments using EHR for patients, makes reminder calls one business day before appointments and maintains the schedule (e.g. cancellations or additions) to ensure accuracy.
• Performs other duties as assigned.
