About The Position

The Patient Scheduling Coordinator is responsible for coordinating patient appointments, diagnostic testing, and clinical services with a high level of independence and judgment. This role supports both outpatient and inpatient workflows, ensuring efficient scheduling, accurate documentation, and a strong patient experience.

Requirements

  • High school diploma or GED required
  • Minimum of 3 years of clerical experience
  • At least 6 months of experience at a Patient Scheduling Coordinator level or equivalent
  • BCLS certification required within 30 days of hire
  • Must complete required certification program and maintain accuracy standards
  • Knowledge of third-party payer requirements
  • Basic understanding of ICD-9 and CPT coding (or willingness to obtain)
  • Data entry speed of 5,000 keystrokes/hour with ≤3% error rate
  • Ability to work independently in a fast-paced clinical environment
  • Strong multitasking and organizational skills
  • Strong customer service and problem-resolution skills

  • Experience with IDX, Medipac, LastWord (preferred)

Responsibilities

  • Schedule clinical appointments for new and returning patients using IDX or similar systems, prioritizing based on patient needs
  • Coordinate laboratory and diagnostic testing using systems such as LastWord, NotesLink, Logician, or manual processes
  • Assess patient needs over the phone and determine appropriate appointment timeframes using sound judgment
  • Facilitate coordination between physicians, patients, nursing staff, and external providers to ensure all pre-visit requirements are complete
  • Coordinate inpatient testing, including transportation and scheduling, based on clinical urgency
  • Prepare patient charts and ensure all documentation is complete prior to visits
  • Provide information on clinic policies and resolve patient concerns with a strong customer service focus
  • Assist with training and onboarding of new or less experienced staff
  • Support billing and coding processes, including TES file processing and medical coding as needed
  • Coordinate surgeries, including scheduling, precertification, and communication with all involved parties
  • Perform financial-related tasks such as insurance verification and assisting patients with billing inquiries
  • Maintain compliance with required training and attend departmental meetings regularly
