About The Position

The Patient Scheduling Coordinator, Ophthalmology, is responsible for scheduling clinical appointments for new and returning patients, coordinating laboratory work and diagnostic testing, and performing complex coordination among physicians, patients, nurses, and external laboratories. This role requires independent judgment and discretion to prioritize appointments based on patient needs and the seriousness of their condition. The coordinator also handles patient inquiries, resolves issues, assists with billing questions, and coordinates surgeries. This is a full-time position with benefits eligibility.

Requirements

  • High school diploma or GED equivalent
  • Three years clerical experience
  • Six months of which must be at Patient Scheduling Coordinator level or equivalent
  • Must complete certification program and maintain accuracy standards
  • BCLS required within 30 days of hire
  • Knowledge of third party payor requirements
  • Basic knowledge of ICD-9 and CPT coding or willingness to complete these courses upon employment
  • Data entry accuracy of 5000 kph with 3% or less error rate
  • Ability to function independently in an intensive clinical setting
  • Ability to perform multiple tasks simultaneously
  • Experience using IDX, Medipac and LastWord
  • Experience with managed care or health insurance company
  • Strong customer service focus

Responsibilities

  • Schedules clinical appointments for new and returning patients using the IDX system, prioritizing based on clinical judgment.
  • Coordinates laboratory work and diagnostic testing for patients using various systems and manual methods.
  • Makes daily judgments over the telephone regarding the timeframe for patient appointments based on experience and chart review.
  • Performs complex coordination among WFUHS physicians, external physicians, patients, nurses, and outside testing laboratories.
  • Coordinates departmental consult services as directed.
  • Coordinates testing for inpatients, considering the seriousness of their condition for transportation and testing timelines.
  • Ensures each patient's chart is fully prepared prior to the visit, including chart work-up.
  • Answers inquiries concerning clinic policies and procedures, and resolves patient issues and complaints.
  • Practices excellent customer service skills and accommodates patient's special needs.
  • Assists in the training of less experienced personnel.
  • Processes transaction editing system (TES) files and performs medical coding for proper billing.
  • Coordinates surgeries, considering timeframes, instruments, room availability, and physician schedules.
  • Obtains precertification and coordinates activities with NCBH as required.
  • Performs financial duties including authorizing insurance, reviewing encounter forms, and assisting with billing questions.
  • Completes required educational programs and the WFUP Certification Program.
  • Attends and participates in WFUP Clinical Operations Departmental meetings.
  • Performs other related duties incidental to the work described herein.
