About The Position

Neurobehavioral Center for Growth (NBCG) is a rapidly expanding multi-location behavioral health practice in Utah, offering a wide range of services including psychiatry, medication management, TMS, Spravato/esketamine, ketamine therapy, ABA therapy, neuropsychological testing, and speech therapy. The Patient Scheduling Coordinator role in Salt Lake City is a blend of front desk duties and proactive patient outreach, focused on connecting patients to care, optimizing provider schedules, and ensuring no patient is overlooked. This position is ideal for someone who enjoys interacting with people, brings positive energy, and is dedicated to thorough and effective work. The coordinator will be the primary point of contact for patients calling NBCG, guiding them from initial interest to appointment scheduling.

Requirements

  • High school diploma or equivalent
  • Strong verbal communication and interpersonal skills
  • Comfortable making outbound calls and having warm, persuasive conversations with patients
  • Highly organized with strong attention to detail
  • Ability to pass a background check

Nice To Haves

  • Prior experience in a medical front desk, scheduling, or patient coordinator role
  • Familiarity with EHR or practice management software (AdvancedMD)
  • Experience in behavioral health, psychiatry, or a specialty healthcare setting
  • Comfortable discussing mental health services and treatment options with empathy and clarity

Responsibilities

  • Proactively call and follow up with prospective and existing patients to schedule appointments with psychiatric and advanced depression services providers.
  • Manage and optimize provider schedules across the SLC office and support scheduling for psychiatric providers at other NBCG locations as needed.
  • Coordinate patients into the appropriate level of care (medication management, TMS, Spravato, or ketamine therapy) through careful listening and questioning.
  • Educate patients about services in a clear, warm, and compelling manner.
  • Follow up with interested patients, those who had consultations, or need to reschedule to ensure no opportunities to help patients are missed.
  • Identify and fill gaps in provider schedules by reaching out to waitlisted patients or those due for follow-up.
  • Answer incoming calls promptly and professionally, serving as a positive and reassuring first point of contact.
  • Address patient questions, route calls appropriately, and ensure callers feel heard and helped.
  • Check patients in and out for appointments, ensuring a smooth and welcoming experience.
  • Maintain clean, accurate, and complete patient profiles in the EHR system (AdvancedMD).
  • Identify and correct profile discrepancies, missing information, or scheduling errors proactively.
  • Coordinate with clinical and administrative team members to ensure seamless patient flow.
