About The Position

Answers multi line phone system. Take messages, answer questions when appropriate, and handle calls efficiently, and schedule appointments in a timely matter. Perform duties such as check-in patients, ensures all necessary paperwork is completed, and explains the scheduled appointment to the patient and the process for the patient. Gathers and updates necessary insurance and demographic information from patients. Uses expertise to translate the information provided by the patient/guarantor into the computer system.

Requirements

  • Requires High School diploma.
  • One year of experience in a medical office setting or equivalent relevant post High School training/education is required
  • Excellent organizational skills, customer service and medical receptionist skills.
  • Ability to remain calm and helpful under pressure, in an emergency situation or with distressed patients.
  • Ability to multi-task and handle a high volume of calls and keep appointment calls moving in a timely matter.
  • Ability to prioritize tasks and work independently in a fast paced environment.
  • Skilled at incorporating AIDET into customer service/professional practice and ability to work and communicate effectively with patients, families, and others.
  • Knowledge of role in patient confidentiality and protecting patient information from unauthorized access, use, or disclosure as defined by HIPAA.
  • Ability to demonstrate the knowledge and skills necessary for providing population specific care/assistance.
  • Ability to participate in shelter-in-place and disaster response protocols.
  • Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook), secure messaging applications and collaborative tools i.e. Microsoft Teams.
  • Proficiency with Paycom HRIS system and related computer software necessary for this position.
  • Ability to apply logical problem-solving and decision-making skills in both routine and occasionally complex situations.
  • Ability to read, interpret, and act upon a variety of documents and information sources needed to successfully perform the essential functions of the position.
  • Ability to write routine reports and correspondence.
  • Skilled at communicating information and ideas clearly in both written and verbal formats, adapting tone, style, and messaging for a variety of audiences.
  • Strong communication, customer service, and attention to detail.
  • Ability to accurately perform basic mathematical calculations in all units of measure using whole numbers, common fractions, and decimals.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, etc.
  • Verify insurance, copays, and billing information with strong numerical precision.
  • Understand and adhere to MMHC’s compliance standards as they appear in MMHC’s Compliance Program and related policies.
  • Attend all mandatory education programs and demonstrate proficiency related to general safety and regulatory compliance.
  • Attend all department-specific training, and demonstrate proficiency related to safety and job-related hazards.
  • Understand and follow MMHC procedures for exposure control / bloodborne and airborne pathogens.
  • Comply with all relevant MMHC policies, procedures, guidelines, and all other regulatory standards and requirements.
  • Attire is neat, clean, appropriate for the work environment and adheres to MMHC policy,
  • Wear proper identification while on duty.
  • Maintain confidentiality of all hospital and patient information at all times.
  • Report to work on time and maintain defined standards for attendance.
  • Attend mandatory meetings.
  • Able to perform essential job duties that meet job performance expectations and organizational standards while upholding MMHC mission and values.

Nice To Haves

  • Prefer previous customer service experience in a hospital or clinic setting
  • Understanding of medical terminology, insurance processes, and medical office procedures.

Responsibilities

  • Answer all incoming calls to the clinic at the switchboard and direct the call correctly
  • Make necessary changes as needed for the providers
  • Make all appointments, electronic messaging, register all lab patients, register all patients, make all return appointments
  • Keep a daily watch over the provider's schedules to assure all scheduling is correct(i.e vacations)
  • Send reminder letter or phone calls if needed
  • Register patients/update insurance information
  • Take payments
  • Insurance requests, attorney, workers' compensation claims
  • CTC reports, family planning
  • Assist in helping co-workers with daily work as needed, making return appointments, answer other incoming calls
  • Assist nursing staff with other duties that are needed
  • Cover additional hours as needed
  • Assist with necessary insurance forms and perform related clerical duties
  • Verifies insurance coverage by third party agencies
  • Answers inquiries regarding insurance and/or billing concerns and follows up with individuals as needed
