About The Position

The Patient Registration Coordinator is responsible for managing patient check-in, verifying demographic and insurance information, collecting fees, and maintaining accurate patient records in the electronic medical system. This role also involves scheduling appointments, handling phone calls, verifying insurance coverage, managing medical records, and ensuring the front desk and waiting area are organized and stocked. The coordinator will communicate effectively with patients and co-workers to ensure quality patient care and clinic efficiency. Bilingual skills in Spanish or Vietnamese are a plus.

Requirements

  • Previous experience working in a medical setting is a plus.
  • Ability to interpret and translate as appropriate.

Responsibilities

  • Check in patients, verify demographic information, and enter patient data into the electronic medical record.
  • Support patients in filling out intake forms.
  • Verify insurance status and document appropriate billing information.
  • Assess ability to pay fee-for-service, collect fees, and assist patients with fee-for-service forms.
  • Process billing forms and submit charges for payment.
  • Record monetary transactions, maintain cash balance, and reconcile cash payments.
  • Keep the front desk stocked with forms and supplies.
  • Update patients on their visit status.
  • Communicate relevant information to co-workers.
  • Schedule walk-in and call-in patients for various visits.
  • Document all scheduling and rescheduling details.
  • Call patients with appointment reminders.
  • Answer calls courteously, provide resources, transfer calls, and take messages.
  • Check voicemail, maintain the telephone log, and document conversations.
  • Conduct in-reach calls to set up appointments.
  • Verify patient insurance coverage through Emdeon and Medicaid online verification systems.
  • Assess Medicaid eligibility and review eligibility for various payers.
  • Ensure Community Care referrals are in place and direct patients appropriately.
  • Scan paper records into the electronic medical record.
  • Respond to medical records requests and contact patients regarding release forms.
  • Retrieve and file charts.
  • Clean and stock the patient waiting area.
  • Maintain patient files and databases.
  • Notify the supervisor of needed supplies.
  • Cross-train with other support staff.
  • Complete programs or projects relevant to academic needs and clinic mission.
  • Interpret and translate as appropriate.
