The Patient Registrar is responsible for engaging in positive interactions with patients, visitors, and customers, providing helpful assistance, and staying calm under pressure. This role involves arriving patients to the ER and Urgent Care, signing in or checking in hospital outpatient visits, and identifying patients in need of immediate care by visual assessment at the time of registration. The registrar prioritizes patient registration by severity of complaint, monitors the waiting area for changing patient conditions, and alerts the triage RN. They admit surgical and direct admit patients, schedule and check in hospital outpatient lab patients, and identify/select patients using department-required identifiers to ensure the correct electronic medical record is used, thereby reducing the chance for privacy, medical, or duplicate medical record errors. The role involves entering patient complaints/symptoms, completing required arrival information in the electronic medical record, generating patient armbands, face sheets, and labels, and verifying information before applying patient armbands during traumas or other chaotic situations. Additionally, the Patient Registrar gathers and enters demographic, guarantor, and billing information, obtains necessary signatures and documents, verifies and updates patient insurance information, identifies patients with out-of-network insurance, and works with patient financial counselors for self-pay services. They identify appropriate primary/secondary payees, complete MSPQ for Medicare patients, collect co-pays and payments, assist with patient coordination into appropriate units, and provide accurate information and timely updates. The registrar also assists outside EMS/EMT agencies, performs pre-admission and pre-registration functions, provides admission information, obtains Medicare signatures, secures patient valuables, and assists hospital staff during EPIC Downtime or disaster mode. They also assist nursing staff with transportation vouchers and payments, maintain and balance a cash drawer, manage work queues to resolve registration errors, assess interpreter needs, handle telephone inquiries, monitor security cameras and door entry systems, address questions or concerns, use service recovery skills, remain flexible to changing duties and work volumes, manage their schedule efficiently, and present a professional demeanor. The role includes completing travel screening questionnaires, tracking visitors, providing directions, escorting patients/visitors, demonstrating teamwork, communicating appropriately with leadership and partners, notifying leadership of unusual occurrences, using resources efficiently, and following healthcare regulations. Light duty cleaning of registration, lobby, and waiting room areas is also part of the role, along with completing assigned educational courses. The position may require working alternate shifts, weekends, and overtime during peak periods, and performing other duties as assigned.
