Capital Health is seeking a full-time Patient Reception Representative for its Primary Care practice in Quakerbridge, NJ. The position involves managing patient interactions, scheduling appointments, processing registrations, handling inquiries, and ensuring accurate record-keeping and financial transactions. Requirements

  • High school diploma or equivalent.
  • One year experience as a receptionist or clerk in a healthcare environment OR one year customer service experience.
  • Familiarity with medical terminology, ICD-10 and CPT codes.
  • Excellent communication and interpersonal skills.
  • Proficient computer skills.
  • Basic Microsoft Office skills.
  • Familiarity with Excel spreadsheets.

Nice To Haves

  • Medical assistant or medical office technician certification preferred.

Responsibilities

  • Answer telephones promptly and courteously, handling multiple phone lines and routing calls appropriately.
  • Schedule and cancel appointments according to office guidelines and Capital Health policy.
  • Schedule patients for outpatient tests and surgeries.
  • Prepare for the day by reviewing eligibility and phone reports.
  • Prepare new patient charts and paperwork.
  • Greet patients and visitors professionally and welcomingly.
  • Inform patients of privacy policies and procedures and of any delays in physician schedules.
  • Assist with patient comfort during delays.
  • Perform registration to ensure demographic and insurance information is accurate and complete.
  • Comply with department procedures and regulatory guidelines for HIPAA, Advance Beneficiary Notice, Advance Directives, and Patients Rights.
  • Ensure all requirements and fields on check-in and check-out pages are satisfied and complete.
  • Obtain copies of insurance cards, driver's licenses, authorizations, and referrals, and enter them into the system.
  • Collect co-payments and outstanding balances at check-in, and time of service and estimated balances at check-out.
  • Refer patients to CBO staff regarding past due balances, questions, and/or resolution.
  • Review and comply with Patient Account Notes and Appointment Notes in the system.
  • Accept accountability for all Worklists/Boxes on the dashboard or elsewhere based on assignment.
  • Confirm charges and approve claim creations in the system at Check-Out.
  • Validate and submit appropriate claims for real-time adjudication.
  • Work the “Day End Review” report and designated Tier-based HOLD Claim Worklists daily.
  • Schedule follow-up appointments, create appointment ticklers in the system, and work associated Worklists/boxes.
  • Complete referrals and pre-authorizations as required.
  • Create a Time of Service batch and link it to a deposit batch daily.
  • Reconcile, balance, and close each batch/drawer at the end of the day.
  • Turn over batches to the designated resource daily.
  • Perform clerical duties including processing mail, confirming appointments, sending follow-up notices, and maintaining statistics.
  • Perform other duties as assigned and may be assigned to other Capital Health Medical Group Practices as needed.
