About The Position

We are seeking a detail-oriented Patient Intake Specialist to support the intake and order management process for patients requiring specialized healthcare services. This role is ideal for someone with healthcare administration, patient access, medical billing, or insurance verification experience who enjoys helping patients while working in a fast-paced environment.

Requirements

  • Experience in healthcare intake, patient access, medical billing, home healthcare, or durable medical equipment (DME).
  • Familiarity with medical terminology.
  • Experience with insurance authorization, verification, and reimbursement processes.
  • Knowledge of Medicare, Medicaid, and commercial insurance plans.
  • Strong attention to detail and organizational skills.
  • Excellent communication and customer service skills.
  • Comfortable handling a high volume of phone calls.
  • Ability to work independently and as part of a team.
  • Adaptable, proactive, and eager to learn new systems and processes.
  • Compassionate yet able to navigate difficult conversations with patients.
  • Comfortable explaining insurance coverage decisions and situations where patients may not qualify for coverage.
  • A self-starter who takes ownership of their work and provides outstanding service.
  • Strong relationship-building skills with both internal teams and external customers.

Responsibilities

  • Review referral documentation and patient records for accuracy and completeness.
  • Enter patient, referral, and order information into company systems.
  • Verify insurance coverage, benefits, and eligibility to support order processing and reimbursement.
  • Obtain required documentation from referral sources, healthcare providers, patients, and internal teams.
  • Maintain accurate patient order records throughout the intake process.
  • Communicate order status updates to patients, providers, referral sources, and internal stakeholders.
  • Prepare and process documentation required for product delivery and reimbursement.
  • Coordinate with cross-functional teams to ensure timely service delivery.
  • Support compliance with payer requirements, clinical guidelines, and company policies.
  • Help reduce claim denials by ensuring all documentation requirements are met.
  • Provide exceptional customer service to patients, caregivers, and healthcare partners.
  • Participate in special projects and process improvement initiatives as needed.
