About The Position

Performs receptionist, registration, and clerical duties associated with registering patients for inpatient and outpatient services. This role involves verifying insurance benefits, obtaining necessary pre-certifications or authorizations, and accepting required payments. The representative will also round with patients to ensure an excellent patient experience, follow up on reported issues, and assist with service recovery. Additionally, they will meet with surgical/procedural patients or their caregivers to exchange information, provide pre-procedure instructions, address concerns, and schedule patient/family surgical conferences. The role requires reviewing patient charts to ensure imaging and pertinent information are available, communicating with referring physician offices and clinical departments to coordinate care, and assisting with surgical orders. Building relationships with physicians, OR staff, and insurance representatives is crucial for facilitating scheduling duties, and the representative will manage physician calendars and work the incoming referral queue daily. Assistance with appointments in other specialist offices, general clerical duties, front/back desk support, and scheduling appointments are also part of the responsibilities. The role includes assisting patients with MyChart activations and Telehealth visits.

Responsibilities

  • Verifies insurance benefits and obtains pre-certification/authorization as necessary.
  • Determines and accepts required payments, including co-pays and deductibles, or refers to financial counselors for follow up.
  • Rounds with patients in practice to ensure Excellent Patient Experience is met.
  • Follows up on reported issues and assists with service recovery.
  • Meets with surgical/procedural patient or patient's caregiver to exchange necessary information and documentation.
  • Provides explanation of process, pre-procedure instructions, and addresses concerns and questions.
  • Schedules patient/family surgical conferences.
  • Reviews patient charts to ensure imaging is available and all pertinent information to maximize appointment.
  • Communicates with referring physician's office, clinical department(s), and/or other appropriate personnel to exchange necessary information and coordinate surgical/procedural/diagnostic testing and DME as appropriate.
  • Assists in completing surgical orders as directed by department.
  • Builds critically important relationships with physicians, OR staff, as well as insurance representatives in order to help facilitate all scheduling duties.
  • Responsible for managing physician calendars.
  • Works Department incoming referral work queue daily.
  • Assists patients with appointments in other specialist offices as requested/referred by our physicians.
  • Performs general clerical duties including assisting with the front/back desk as well as scheduling appointments.
  • Assists with signing up patients/Proxy with MyChart activations and Telehealth visits.
  • Obtain specialty authorizations.
  • Handles authorization denial and peer to peer process.
  • Provides patient care navigation (e.g., surgical and procedural coordination and scheduling for patient specific populations).
  • Handles all incoming calls and physician and hospital back lines.
  • Obtains and confirms referrals.
  • Upon validation of patient identity, places identification band on patient.
  • Obtains signatures for hospital specific regulatory forms not required in an ambulatory or office setting.
  • Obtains authorizations for walk-in appointments.
  • Determines when financial assistance is needed.
  • Manages MIH-MPC program patient referral, payment collection and eligibility scheduling.
  • Processes referral work-ques and same day access requests.
  • Works with Patient Access Center on real time patient requests.
  • Addresses prescription refill requests, patient advice requests through MyChart, and provider scheduling template.
