Requirements

  • High school diploma or equivalent required.
  • Bilingual (Spanish-speaking) preferred, with the ability to effectively communicate with patients and staff in both English and Spanish.
  • The Patient Experience Specialist (PES) position has 3 tiers depending on experience. PES I – 0-2 years’ experience PES II – 2-4 years’ experience PES III – 4+ years’ experience
  • Progression to next level is based upon years’ experience in a dental or medical office OR equivalent education, training, or a combination of both.

Nice To Haves

  • Administrative experience in a dental practice, including knowledge of dental insurance and procedures.
  • Relevant training or education in dental administration, insurance, or costumer service may substitute for direct experience.
  • Loves interacting with patients and helping solve their questions and concerns
  • Is adaptable, resourceful, and comfortable managing multiple priorities in a fast-paced environment
  • Enjoys learning new systems and processes and is motivated to become an expert in our EHR and patient management tools
  • Communicates clearly and professionally while building trust with patients, providers, and teammates

Responsibilities

  • Be the first point of contact for patients, creating a welcoming and seamless experience from check-in through follow-up care.
  • Coordinate appointments, treatment schedules, and patient communications to support efficient clinic operations and exceptional service.
  • Verify insurance coverage, obtain authorizations, and help patients understand treatment plans, financial responsibilities, and payment options.
  • Maintain accurate patient records, documentation, consents, and account information to ensure a smooth care journey.
  • Process payments, resolve account discrepancies, and support positive financial experiences for patients.
  • Partner with providers and cross-functional teams to improve patient flow, enhance service, and support daily clinic operations.
  • Serve as a trusted resource for patients and teammates by addressing concerns, answering complex questions, sharing knowledge, and supporting onboarding and training.
