Requirements

  • High school diploma or GED.
  • Previous experience in a medical office setting preferred.
  • Word processing/computer scheduling experience.
  • Knowledge of typical office work environment.
  • Previous customer service experience preferred.

Responsibilities

  • Greet patients upon arrival.
  • Verify patient information, confirm insurance details, and check referral status/authorizations.
  • Maintain knowledge of insurance company participation and requirements.
  • Register patients accurately in the computer system for consistent patient listing and billing.
  • Answer general patient questions according to established guidelines.
  • Print route slips for appropriate resource allocation.
  • Schedule all in-office appointments based on recalls on route slips.
  • Monitor the schedule and troubleshoot issues as they arise.
  • Collect patient payments and balance all collected monies against receipts.
  • Address patient inquiries regarding insurance billing and office financial policies.
  • Generate and dispense Patient Portal tokens for all patients.
  • Enter recalls into the computer for future appointments.
  • Assist patients with tasks such as calling for transportation, writing checks, or dialing phone numbers.
  • Direct patients to appropriate locations within the facility (e.g., waiting room, optical, restrooms, ASC).
  • Maintain the highest level of customer service for patients.
  • Assist in maintaining the work area and reception area, including making coffee, organizing magazines, and tidying up.
  • Demonstrate basic understanding of phone etiquette, differentiating between internal and external calls, and transferring calls successfully.
  • Take initiative to complete tasks and avoid idleness.
  • Ensure the confidentiality of medical records and patient information.
  • Perform other duties as assigned.
