About The Position

The Patient Care Secretary (PCS) is a skilled secretarial professional responsible for supporting the Team Manager and ensuring the smooth execution of all patient care-related clerical procedures. This role involves managing communications, maintaining patient records, coordinating schedules, and facilitating various administrative tasks to support the patient care team.

Requirements

  • Able to handle multiple tasks.
  • Excellent communication skills.
  • Good telephone skills.
  • High school graduate or equivalent required.

Nice To Haves

  • Three years prior work experience preferred.

Responsibilities

  • Screens telephone calls for the Team Manager.
  • Facilitates communication between patients/families and other team members, including volunteers.
  • Maintains the daily schedule for all team members.
  • Attends weekly team meetings and prepares the agenda.
  • Follows through on assignments given by the Team Manager.
  • Establishes, maintains, and closes patient charts in an orderly fashion, including mailing and following up on required documentation (e.g., Plans-Of-Care, Attending Physician Authorization forms, Medical Information Request forms).
  • Provides routine and requested back-up documentation to the Billing Department.
  • Orders Durable Medical Equipment (DME) and maintains records of order and pick-up dates.
  • Enters patient care and volunteer data into Vx and event tracking systems.
  • Communicates with staff and outside agencies as directed by the Team Manager.
  • Maintains a list of all part-time staff and schedules them at the direction of the Team Manager (in programs with part-time staff).
  • Orders supplies and documentation forms used by the team (jointly with other PCS).
  • Handles routine correspondence for the Team Manager and team members.
  • Sorts and processes all patient care mail (jointly with other PCS).
  • Maintains Admission, Discharge, Transfer (ADT) records and checks census daily for accuracy.
  • Covers for other patient care secretaries during short absences like lunch or team meetings (in programs with multiple PCS).
  • Handles other tasks as assigned by the Team Manager.
