About The Position

This role is for a Patient Care Coordinator at a Med Spa & Wellness center, specifically 4Ever Young in Colorado Springs. The Patient Care Coordinator is the first and last impression for patients, responsible for managing the front of the practice in a fast-paced environment. The role involves handling patient flow, managing phone and scheduling, educating patients on services and memberships, and working with the clinical team to drive rebooking and retention. The center operates under the 4Ever Young brand standard, and they are looking for someone to grow with the team long-term.

Requirements

  • Customer-facing experience in medical/dental front office, med spa/aesthetics, hospitality concierge, or membership sales and administration.
  • Natural consultative instincts: you can guide patients to the right next step without it feeling like a sales conversation.
  • Strong multitasking and attention to detail - you stay organized and accurate when phones, arrivals, and team needs are all happening at once.
  • Clear, professional communication in person, on the phone, and in writing.
  • Familiarity with scheduling software (Zenoti) or EMR systems preferred; willingness to learn required.
  • Consistent Tue-Sat availability, including every Saturday. This is a firm scheduling requirement.

Responsibilities

  • Own the patient experience: warm check-in and check-out, accurate records, clean and welcoming front-of-house environment.
  • Manage scheduling and communications: answer phones, book and confirm appointments, manage waitlists, and respond to patient messages.
  • Educate and convert: introduce patients to services, promotions, and VIP/membership programs in a consultative, education-first way.
  • Drive rebooking and retention: ensure every patient leaves with a clear next step; follow up on lapsed patients as needed.
  • Handle payments and admin: process transactions, maintain patient records in the EMR system, and ensure HIPAA compliance.
  • Support the team: assist with center events, supply tracking, and any operational tasks that keep the center running at standard.
