About The Position

Elevated Orthodontics is seeking a dedicated and personable Orthodontic Patient Care Coordinator with a strong background in patient relations, scheduling, and treatment coordination. The ideal candidate will be skilled in creating a welcoming environment, managing patient communication, and ensuring seamless office operations from consultation to treatment completion. Responsibilities include presenting treatment plans, handling insurance verification, and maintaining accurate records with attention to detail. The role requires professionalism, empathy, and the ability to build lasting relationships with patients and families while supporting a positive, team-oriented practice culture. The Orthodontic Patient Care Coordinator serves as the primary point of contact for patients in an orthodontic practice, ensuring a smooth, welcoming, and efficient experience from the first consultation through treatment completion. This role manages scheduling, patient communication, financial arrangements, and supports the clinical team in delivering exceptional patient care.

Requirements

  • High school diploma or equivalent (associate degree preferred).
  • Experience in orthodontic, dental, or medical office administration.
  • Strong communication, organizational, and multitasking skills.
  • Proficiency with dental/orthodontic software and Microsoft Office.
  • Knowledge of dental terminology and insurance processes.
  • Friendly, professional demeanor with a focus on patient care.

Responsibilities

  • Greet patients and families warmly, ensuring a positive first impression.
  • Schedule new patient consultations, follow-up appointments, and adjustments.
  • Communicate treatment plans, timelines, and expectations clearly.
  • Serve as a liaison between patients, orthodontists, and clinical staff.
  • Handle patient inquiries via phone, email, and in person promptly and professionally.
  • Present treatment plans and financial options to patients and families.
  • Explain insurance benefits, coverage, and payment plans.
  • Process insurance claims and verify eligibility.
  • Manage patient accounts, billing, and payment collection.
  • Maintain accurate financial and treatment records.
  • Maintain patient records in practice management software.
  • Ensure all consent forms and documentation are completed and filed.
  • Coordinate with the clinical team to ensure smooth patient flow.
  • Assist with marketing efforts, patient retention programs, and community outreach.
  • Support daily office operations, including inventory and supply management.
  • Build strong relationships with patients to encourage trust and satisfaction.
  • Follow up with patients after appointments or treatment milestones.
  • Handle patient concerns or complaints with empathy and professionalism.
  • Promote a positive, team-oriented environment within the office.
