About The Position

In this role you will provide comprehensive administrative support to an HSS physician practice, assisting in the day-to-day services and contributing to an environment of clinical excellence. Your duties will entail arranging meetings and conferences, developing processes to maximize office resources and equipment, and anticipating the needs of patients and physician as they arise. Your role is essential to promoting a professional atmosphere through courteous communication, cooperation and respect for patients, visitors and members of the healthcare team.

Responsibilities

  • Arrange meetings and conferences
  • Develop processes to maximize office resources and equipment
  • Anticipate the needs of patients and physician
  • Triage calls and patient inquiries
  • Schedule patients appointments and procedures
  • Conduct verification of medical insurance
  • Collect patient payments
  • Obtain insurance pre-certifications and authorizations
  • Filing/chart preparation
  • Liaise with billing company
  • Answer phones and greet patients courteously, clearly, and efficiently
  • Demonstrate a professional demeanor, empathy, discretion, and respect in all patient interactions
  • Ensure timely internal/external communication via phone, email, or in-person regarding appointments, instructions, and follow-ups based on the office’s protocol
  • Handle patient concerns calmly, and appropriately escalate concerns to administrative manager or clinical staff when necessary
  • Schedule appointments and ancillary services accurately, following the provider’s protocol as directed by the physician or office manager
  • Coordinate referral processes with accuracy and urgency
  • Communicate effectively/proactively with other administrative staff and clinical teams to ensure smooth patient flow
  • Coordinate surgical scheduling dates, enter them into EPIC, ensure pre-authorization within required timelines, and confirm that all required pre-testing and documentation are complete and verified
  • Manage check-out processes accurately, facilitating time of service payments from patients, including copayment and outstanding balance collections (as needed)
  • Obtain authorizations and/or follow up with appropriate teams on the status through completion, as needed
  • Ensure all information is collected from patients to ensure timely billing
  • Use appropriate written communication when documenting in patient charts, and interacting with physician and other clinical teams
  • Accurately scan patient records per hospital guidelines
  • Proficient in the use of electronic medical records systems (e.g., Epic) and navigates scheduling, billing, and Microsoft Office software with competence
  • Operate phones system, scanners, copiers, printers, and other front-desk technology efficiently
  • Learn and adapt to new systems, policies and technologies relevant to office operations
  • Prioritize tasks and manage workload efficiently to meet patient needs, and departmental goals such as call answer rates
  • Take initiative to resolve issues and assist colleagues
  • Adapt to workflow changes and support team productivity
  • Fulfill a lead role in the office when covering for Office Manager during time off
  • Demonstrate accountability in job duties, and proactively assist in training support staff/covering staff as needed
