About The Position

The Patient Care Coordinator (PCC) in the Radiology/Breast Imaging department provides comprehensive administrative, scheduling, and patient-facing support for breast imaging services, including mammography, breast ultrasound, and breast MRI. This role supports three core operational areas—Image Archive, Reception/Front Desk, and Scheduling—with an additional focus on coordinating incoming Dana-Farber Cancer Institute (DFCI) mammography patients. The PCC ensures seamless access to care, accurate imaging record management, and compassionate, efficient experience for patients undergoing breast imaging.

  • Excellent attention to detail, especially when handling imaging records and DFCI referrals.

Nice To Haves

  • associate or bachelor’s degree preferred
  • Prior experience in Radiology, Breast Imaging, Oncology, or women’s health strongly preferred.
  • Familiarity with PACS, EMR systems (Epic), and breast imaging workflows is highly desirable.

Responsibilities

  • Serve as the primary administrative liaison for incoming DFCI mammography patients, ensuring timely access to screening and diagnostic breast imaging.
  • Coordinate with DFCI clinical teams, nurse navigators, and referral coordinators to obtain necessary orders, clinical notes, and prior imaging.
  • Schedule mammography, breast ultrasound, and breast MRI exams according to Breast Care protocols, clinical urgency, and modality availability.
  • Communicate exam preparation instructions and ensure patients understand next steps in their care.
  • Track and prioritize DFCI referrals to support continuity of oncology and survivorship care.
  • Resolve scheduling conflicts, incomplete orders, or missing documentation by collaborating with DFCI and internal Radiology teams.
  • Process incoming outside breast imaging (mammograms, ultrasounds, MRIs) for DFCI and internal patients, ensuring timely upload into PACS.
  • Verify correct labeling, accession matching, and reconciliation of prior breast imaging studies.
  • Support radiologists by ensuring all prior mammography images are available for comparison before interpretation.
  • Handle patient and provider requests for image release, CD creation, and secure digital transfer.
  • Maintain strict compliance with HIPAA and institutional policies regarding sensitive breast imaging records.
  • Welcome and check in patients arriving for breast imaging exams, providing a warm, supportive, and privacy-sensitive environment.
  • Verify patient identity, insurance, and breast imaging orders; update demographic and clinical information.
  • Communicate expected wait times, exam flow, and preparation steps.
  • Triage patient concerns and escalate clinical questions to technologists, nurses, or breast imaging navigators.
  • Support patients who may be anxious or undergoing diagnostic follow-up after abnormal findings.
  • Maintain a calm, organized, and patient-centered reception area.
  • Work closely with breast imaging technologists, radiologists, nurse navigators, and DFCI oncology teams.
  • Assist with patient flow during high-volume screening and diagnostic sessions.
  • Participate in multidisciplinary coordination for patients requiring same-day diagnostic workups.
  • Provide coverage across Radiology administrative functions as needed.
