About The Position

Private Medical is seeking a highly motivated Patient Care Administrator to join their team. This role goes beyond traditional office assistance, involving standard administrative functions such as scheduling, billing, patient communication, and EMR organization. As the practice grows, the administrator will also be responsible for identifying operational improvements to support exceptional care delivery. The position requires delivering concierge-level services, building patient relationships, organizing projects, and proactively addressing issues. The ideal candidate will be autonomous, responsible, proactive, and possess exceptional professional poise and sophistication, similar to a C-level executive assistant or a luxury hotel receptionist. An enthusiasm for the company's mission and tenacity to follow through on responsibilities are essential.

Requirements

  • 1 year of experience required
  • Healthcare experience preferred
  • Advanced computer literacy, primarily with Apple computers
  • Tech-savvy comfort working in a paperless environment (EHR enabled)
  • Proven track record of providing extraordinary customer service
  • Excellent critical thinking and communication skills
  • Autonomous, responsible, and proactive
  • Exceptional professional poise and sophistication, equivalent to being a C-level executive assistant or reception at a luxury hotel
  • Enthusiastic and passionate for our mission
  • Tenacity to follow through and close the loop on both quick and long-tail responsibilities
  • Excellent verbal and written communication skills

Responsibilities

  • Provide concierge services for patients, including assistance with prescriptions, patient interface with other offices and hospitals, appointments, follow-ups, tracking appointments, facilitating patient needs, and developing sincere relationships.
  • Engage in respectful, responsive email and phone communication with prospective and current patients.
  • Warmly greet and assist patients with check-in/check-out procedures.
  • Schedule appointments for physicians and send corresponding reminders.
  • Coordinate and track outside consults, tests, and imaging studies for patients.
  • Obtain prior authorizations for prescriptions and diagnostic companies.
  • Upload labs and other outside documentation into the Electronic Medical Record (EMR).
  • Answer and triage phone calls.
  • Undertake other assigned responsibilities and projects as needed.
