About The Position

DeCoach Recovery Centre is seeking a Patient Access Representative for their Sharonville location. This role serves as the initial point of contact for individuals seeking help for substance use disorders, guiding them and their families through the admissions process with compassion and support. The representative will answer questions, explain services, and ensure a smooth transition into treatment.

Requirements

• High school diploma or equivalent
• Experience in admissions, customer service, or similar
• Strong communication skills; comfortable engaging with clients and families with professionalism and empathy
• Highly organized, able to manage multiple priorities and deadlines
• Proficient in Microsoft Office

Nice To Haves

• Healthcare or addiction treatment background preferred
• Familiarity with addiction recovery and treatment processes a plus
• EHR software experience a plus

Responsibilities

• Serve as the first point of contact for clients, families, and referral sources
• Conduct initial screenings to determine the appropriate level of care
• Explain DeCoach's services, treatment options, and admissions process clearly and accurately
• Manage documentation, insurance verification, and pre-authorizations
• Partner with clinical, medical, and outreach teams for a smooth intake-to-admission transition
• Keep admissions records accurate and compliant
• Maintain consistent follow-up with clients, families, and referral sources
• Work with the outreach team on lead follow-up and conversion
• Coordinate with clinical and medical staff on assessments and intake scheduling
• Help clients and families understand the recovery process and available resources
• Provide calm, informed support during a difficult and often emotional time
• Contribute to informational materials about DeCoach's programs
• Track admissions metrics — conversion rates, referral sources, demographics
• Spot trends and flag opportunities to improve the admissions process
• Participate in team meetings on process and performance
