The Patient Access Specialist reflects the mission, vision, and values of NMHC, adheres to the organizations Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards. This role involves practicing Patients First philosophy, adhering to high standards of customer service, and fostering a team atmosphere. The specialist will respond to questions and concerns, forward extraordinary issues to management, and maintain patient confidentiality per HIPAA regulations. They will provide exceptional customer service to create a positive first impression of Northwestern Medicine, exceed consumer requests, and alert management to issues or concerns requiring escalation. Key duties include correctly identifying and collecting patient demographic information, interacting with hospital departments and physician offices to schedule and direct patients, reaching out to patients to schedule appointments, performing medical necessity checks, informing patients of financial account issues, and completing out-of-pocket estimations. The role also involves providing training and education, managing work schedules efficiently, cross-training between departments, participating in Quality Assurance reviews, and using service recovery skills. Adherence to all department policies, compliance requirements, and avoiding patient financial or safety risks are essential. Communication involves relaying information about referrals and consultations, collecting authorization numbers, fostering a constructive communication environment, attending meetings, communicating customer satisfaction issues, demonstrating teamwork, and accommodating all levels of communication ability. Technology utilization includes multiple online order retrieval systems, verifying insurance eligibility and benefit levels, completing accurate handoff instructions in Epic, running real-time eligibility, and sending quality Epic Messages/Telephone encounters. Efficiency and process improvement involve proactively preventing patient visit issues, understanding data requirements for registration, monitoring quality metrics, analyzing account activity, evaluating procedures for improvements, participating in quality improvement activities, and suggesting process enhancements. The specialist will monitor registration and scheduling, adjust processes to meet standards, use resources efficiently, act as a training resource, and understand that schedules may change to reflect business needs and evolving healthcare policies.
