About The Position

Sanford Health, the largest rural health system in the United States, is dedicated to transforming the health care experience and providing access to world-class health care in America’s heartland. The Patient Access Representative (PAR) has two major functions: patient registration and scheduling. Depending on the setting, the PAR may perform only registration or scheduling duties, or both. In all settings, the PAR performs additional duties as assigned, which vary by location/setting. The role requires excellent customer service and the ability to empathize with patients and their situations. A working knowledge of medical terminology and professional written communication skills are necessary.

Requirements

  • High school diploma or equivalent preferred.
  • One year of work experience, preferably in a medical office setting.
  • Six months' customer service experience desired.
  • Medical terminology helpful.
  • Customer service skills essential.
  • May require BLS for certain locations and/or settings.

  • Post-secondary education helpful.

Responsibilities

  • Greets patients/residents and verifies demographics for accurate registration and/or scheduling.
  • Creates electronic files, provides, scans, and routes necessary forms and documents.
  • Educates patients/residents and obtains signatures on necessary paperwork.
  • Establishes and assigns financial responsibility or assists with arrangements, adhering to policies.
  • Collects co-payments, pre-payments, and/or payments on account balances.
  • Works through the registration work queue to address and resolve issues, including errors, denied claims, and database maintenance.
  • Schedules patient/resident appointments and procedures.
  • Obtains and coordinates referrals.
  • Conducts pre-authorization and arranges interpreter services.
  • Checks patients/residents in/out.
  • Offers enrollment to additional resources.
  • Collaborates with nursing teams and providers to coordinate appointments.
  • May coordinate provider schedules, resolve work queue issues, and manage recall and waitlists.
  • Operates multi-line telephones and may serve as a switchboard operator, calling codes and paging providers.
  • May include preparation and coordination of charts, organizing supporting provider documents, discussing pre-payment responsibilities, initiating and collaborating on patient/resident financial assistance, prior authorization, tracking patient/resident visits, health information management on patient/resident accounts, working on reports, administering and scoring assessments, coordination of Telemed appointments, provider and schedule maintenance, charge entry/billing and charge verification, reminder calls for appointments, hospital admission, making copies, sending faxes, and ordering supplies.
  • Serves as a mentor for new Patient Access Representatives and other staff.
  • Displays professionalism and promotes an atmosphere of mutual respect and cooperation.
  • Works as part of a team and independently.
  • Maintains confidentiality of sensitive information.
