The Patient Access Representative is primarily responsible for scheduling ultrasound and X-ray appointments. This role provides courteous and professional assistance to patients and physician offices during the scheduling and registration process for diagnostic imaging procedures. Key responsibilities include gathering and verifying accurate demographic, insurance, and billing information; scheduling appointments; entering imaging orders; and ensuring all related tasks are completed efficiently and in a timely manner. The PAR I plays a critical role in supporting a positive patient experience and ensuring seamless coordination between patients, families, and healthcare providers.

Requirements

  • High school diploma or equivalent

Nice To Haves

  • 1-3+ years related health care scheduling for multiple locations, medical terminology, physician billing and/or medical reception/medical office experience

Responsibilities

  • Champion the Lumexa Way in daily activities
  • Ensures accuracy of patient data entered into the electronic medical record system
  • Schedules and confirms ultrasound (US) and X-ray (XR) appointments
  • Enters all appointment dates and times into the computerized scheduling system.
  • Employees hired before October 2025 may still be required to enter orders for all imaging modalities if needed.

  • Communicates to patient or patient representative any financial responsibility
  • Explains exams/procedures, preparation instructions and location directions to patients and provider office staff
  • Acts as a liaison for center operations and centralized authorizations department (i.e., CAD, etc.) as a supportive partner for centralized services
  • Contacts referring provider offices to obtain exam orders if necessary
  • Handles patient and provider calls (inbound and outbound) via telephone softphone application in a courteous and helpful manner.
  • Calmly handles patient experience and customer service issues, escalating to leadership when appropriate
  • Other duties as assigned per business need
