About The Position

The Patient Access Representative works closely with patients, providers, technologists, and other healthcare team members to promote timely access to care, maintain regulatory compliance, support efficient departmental workflows, and create a positive patient experience throughout the scheduling and registration process. This position is responsible for scheduling diagnostic imaging appointments, registering patients, and ensuring an efficient check-in process. This role serves as the first point of contact for patients and provides exceptional customer service while coordinating access to imaging services. Duties include scheduling appointments based on provider orders and department protocols, verifying patient demographics and insurance information, obtaining required authorizations and referrals, and communicating preparation instructions for procedures. During patient check-in, responsibilities include confirming registration information, collecting applicable copayments, obtaining required consent forms, and ensuring all documentation is complete and accurate. Requirements

  • High school diploma or equivalent preferred
  • One year of work experience, preferably in a medical office setting
  • Medical terminology helpful
  • Customer service skills essential
  • Six months' customer service experience desired
  • May require BLS for certain locations and/or settings

Responsibilities

  • Scheduling diagnostic imaging appointments
  • Registering patients
  • Ensuring an efficient check-in process
  • Scheduling appointments based on provider orders and department protocols
  • Verifying patient demographics and insurance information
  • Obtaining required authorizations and referrals

  • Confirming registration information during patient check-in

  • Greet patients & verifies demographics
  • Creating, scanning & routing documents or electronic forms
  • Inform patients what the document is & capture signatures on necessary paperwork
  • Establishes and assigns financial responsibility and assists with arrangements while adhering to appropriate policies and procedures
  • Collects co-payments, pre-payments, and payments on account balances
  • May work through the registration work queue to address and resolve registration errors or denied insurance claims
  • Work with nursing team & providers to coordinate & schedule appointments to meet patient’s needs, coordinate provider schedule
  • Obtain and coordinate referrals & conduct pre-authorization
  • Arrange interpreter services
  • Check patients in/out
  • Operate multi-line phone
  • May resolve work queue issues, manage recall and waitlists, & serve as switchboard operator calling codes and paging providers
  • Preparation & coordination of charts
  • Organize supporting provider documents
  • Initiation & collaboration of patient financial assistance
  • Track patient visits & health information management on patient accounts
