About The Position

The Patient Access Representative serves as the first point of contact for patients in a medical clinic setting. This role is responsible for providing exceptional customer service, performing patient registration, scheduling, insurance verification, and supporting smooth clinic operations to ensure a positive patient experience.

Requirements

High school diploma or equivalent required
Previous experience in a healthcare or medical office setting preferred.

Nice To Haves

associate degree in healthcare administration or related field preferred.

Responsibilities

Greet patients in a friendly, professional, and timely manner.
Answer inbound calls promptly, politely, and professionally; make outbound calls to confirm or reschedule appointments as needed.
Obtain, verify, and accurately enter patient demographic and insurance information into the electronic medical record (EMR).
Schedule and coordinate patient appointments, ensuring date, time, provider, and location are correct.
Respond to patient inquiries or direct calls/messages to the appropriate staff.
Explain billing information and assist patients with account questions.
Manage patient check-in and check-out processes. Check-In: Collect and post payments, update patient demographics, and verify insurance. Check-Out: Schedule follow-up appointments, provide receipts, and confirm next steps for care.
Scan and upload medical records and documentation into the EMR.
Verify medical insurance coverage using online tools and phone resources.
Monitor patient wait times and address concerns to maintain high customer satisfaction.
Collaborate with healthcare providers and staff to ensure efficient patient flow and clear communication.
Maintain a clean, organized work area and waiting room environment.
