About The Position

Haven Women’s Health & Birth Center is a free-standing, patient-centered birth center seeking a Patient Access & Marketing Lead to anchor our front office, patient experience, and internal marketing coordination. This role blends front desk excellence, administrative operations, and internal brand stewardship. The ideal candidate has strong administrative and some branding/marketing/graphic design experience, is exceptionally organized, people-oriented (especially moms, kids and babies), calm under pressure, and comfortable juggling operational and communication responsibilities in a clinical environment.

Requirements

  • Administrative and marketing experience required
  • Canva/Adobe Suite experience
  • Highly organized, detail-oriented, and dependable
  • Strong interpersonal, written, and verbal communication skills
  • Calm, professional, and emotionally intelligent in patient-facing situations
  • Comfortable with scheduling software, website tools, and digital forms
  • Able to manage multiple priorities in a fast-paced healthcare setting

Responsibilities

  • Serve as the primary front desk presence, creating a warm and welcoming patient experience
  • Answer phones, manage the contact email inbox and respond to inquiries
  • Schedule appointments, classes, tours and orientations
  • Collect payments, explain charges and assist with financial conversations
  • Manage patient intake, forms, document scanning and medical records coordination
  • Enter website patient orientation bookings into our practice management software and manage referrals
  • Send reminders for payments and health history forms
  • Coordinate daily clinic operations and internal communication with staff
  • Maintain schedules, handoff documents, and internal systems
  • Order office, snack, and facility supplies
  • Maintain cleanliness, organization, and presentation of the birth center
  • Support boutique inventory, gifts, and patient materials
  • Provide backup support for limited HR, insurance verification, and administrative needs
  • Escalate issues to the Practice Manager as appropriate
  • Manage educators, class schedules, and classroom coordination
  • Arrange and lead new client orientation
  • Plan and support internal and external events, classes, and community outreach
  • Maintain signage promoting classes and events
  • Manage and update website content, class schedules, and forms (HIPAA-compliant)
  • Send monthly email newsletters promoting classes and events
  • Maintain brand consistency across patient-facing materials
  • Coordinate with an outsourced marketing partner on campaigns and updates
  • Support lead follow-up after tours and assist with scheduling and questions
