About The Position

Under the supervision of the department manager, this role performs a variety of tasks in support of pathologists and other allied healthcare providers. The Pathology Transcriptionist is accountable for ensuring the accuracy and completeness of all documents, tests ordered, and patient case reports, allowing pathologists to focus on patient care. Key responsibilities include transcribing pathology reports, research documents, and administrative documents, as well as coordinating patient case correspondence for consultations. This role may also involve ordering tests and stains, answering phones, assisting callers with patient reports, adding stains to current cases, changing patient demographics, providing follow-through, and participating in process improvement activities such as data collection, coordinating case conference materials, and maintaining consultant calendars. The position requires adherence to work unit standard operating procedures, including reviewing and ensuring their accuracy. Additionally, the role involves serving as a resource and mentor by training, educating, and mentoring new and existing team members, as well as troubleshooting and resolving problems.

Requirements

  • High school diploma or equivalent.
  • Less than 1 year of experience.
  • Computer skills.
  • Medical terminology with pathology specialty preferred.
  • Demonstrates initiative, proficiency, and good judgment to optimize the use of other allied healthcare providers time.
  • Must be highly organized, efficient, and multifunctional with the ability to work independently as well as in a team.
  • Excellent written and oral communication skills.
  • Experience in medical terminology.
  • Excellent customer service skills.
  • High motivation and successful working independently and in a timely manner is required.

Nice To Haves

  • Formal medical transcribing.
  • Associate's Degree.
  • Six months of transcription experience in a medical setting with pathology experience.
  • Knowledge of Pathology Information System billing.
  • Knowledge of Tumor Conference preparation (all genres).
  • Knowledge of Pathologist’s Peer Review.

Responsibilities

  • Transcription of Gross and Microscopic pathology reports.
  • Handling of patient demographics.
  • Gross transcription of dictation by Pathologists Assistants or Pathologists.
  • Microscopic transcription of dictation during pathologist's review of slides for diagnosis.
  • Notifying pathologists of the need for amendment/addendum of any case requiring further information from outside reference labs or consults with other site pathologists.
  • Pulling and verifying previous transcription, adding additional information, and notifying physicians of amendments/addendums based on internal department consults.
  • Preparing CAP required tumor anatomical forms based on the diagnosis of the pathology report and CPT codes.
  • Collaborating with pathologists to obtain further histories or additional current information from WellStar or other hospitals, ensuring awareness of shareable information.
  • Sending out cases for consultation as appropriate per facility.
  • Documenting receipt of requests for slides/blocks.
  • Requesting slides/blocks from Histology and verifying their receipt.
  • Obtaining pathology reports and discussing the purpose of requests with pathologists to determine which slides/blocks to send.
  • Preparing packages of blocks/slides/reports and any comments from pathologists.
  • Preparing invoices for billing of slides/blocks using department calculations.
  • Preparing slides/blocks for Peer Review as appropriate per facility, selecting an assortment of slides that reflect a diversified representation of complex cases.
  • Preparing slides for pathologist's review for peer review.
  • Placing selected slides in a folder along with the surgical protocol and giving it to the next pathologist in line for peer review.
  • Handling professional billing, including knowledge of documentation within pathology reports for special stains and/or immuno histochemical stains, and interacting with the Pathology Medical Billing Group to correct billing errors.
  • Handling technical billing, including researching errors, documenting specimen request details, and notifying Histology personnel to make changes in technical fee charges.
  • Processing physician orders received via fax, determining if tissue blocks contain enough tumor for testing, and identifying alternative samples if previous testing failed.
  • Working closely with reference lab representatives to stay informed about new testing, ordering tests by completing requisition forms with technical information.
  • Preparing slides/blocks for Tumor Board, Breast Tumor Board, and County Tumor Boards, including receiving requests, pulling slides from storage, preparing trays with selected slides, obtaining pathology reports, and delivering packets to the scheduled pathologist.
  • Handling legal cases, including communicating with attorney's offices/staff and law enforcement, obtaining validity and approval of requests from Risk Management/Health Port staff, understanding and retrieving specific requested materials, completing and submitting Pathology material inventory, and notarizing documents when required.
  • Answering phones for the department.
  • Distributing mail.
  • Ordering kits and supplies for reference lab send-outs.
  • Assisting pathologists and histology techs as needed.
  • Maintaining pathology files.
  • Providing pathologists with physician requests/information.
  • Performing other duties as assigned.
