About The Position

Under the supervision of the department manager, the Pathology Transcriptionist performs a variety of tasks to support pathologists and other allied healthcare providers. This role is crucial for ensuring the accuracy and completeness of all documents, tests ordered, and patient case reports, allowing pathologists to focus on patient care. Key duties include transcribing pathology reports, research documents, and administrative documents, as well as coordinating patient case correspondence for consultations. The position also involves ordering tests and stains, answering phones, assisting callers with patient reports, adding stains to cases, changing patient demographics, and participating in process improvement initiatives such as data collection and coordinating case conference materials. The role requires adherence to work unit standard operating procedures, ensuring their accuracy, and serving as a resource and mentor to new and existing team members by training, educating, and troubleshooting problems.

Requirements

  • High school diploma or equivalent.
  • Computer skills.
  • Knowledge of medical terminology with pathology specialty preferred.
  • Demonstrates initiative, proficiency, and good judgment to optimize the use of other allied healthcare providers time.
  • Must be highly organized, efficient, and multifunctional with the ability to work independently as well as in a team.
  • Excellent written and oral communication skills.
  • Experience in medical terminology.
  • Excellent customer service skills.
  • High motivation and successful working independently and in a timely manner is required.

Nice To Haves

  • Formal medical transcribing.
  • Associate's Degree.
  • Six months transcription experience in a medical setting with pathology experience.
  • Knowledge of Pathology Information System billing.
  • Knowledge of Tumor Conference preparation (all genres).

Responsibilities

  • Transcribe pathology reports (Gross and Microscopic), patient demographics, and research/administrative documents.
  • Coordinate patient case correspondence materials for external consultations.
  • Order tests and stains for cases.
  • Answer phones and assist callers with patient reports, adding stains to current cases, changing patient demographics, or providing related follow-through.
  • Participate in process improvement, including data collection.
  • Coordinate case conference materials.
  • Maintain consultant calendar.
  • Review and ensure accuracy of work unit standard operating procedures.
  • Serve as a resource and mentor to others by training, educating, and mentoring new and existing team members.
  • Troubleshoot and resolve problems as appropriate.
  • Prepare CAP required tumor anatomical forms based on diagnosis and CPT codes.
  • Liaise with pathologists for further histories or additional information from WellStar or other hospitals.
  • Send out cases for consultation, including requesting slides/blocks from Histology, verifying receipt, obtaining pathology reports, and preparing packages for shipment.
  • Prepare invoices for billing of slides/blocks.
  • Distribute mail.
  • Order kits and supplies for reference lab send-outs.
  • Assist pathologists and histology techs as needed.
  • Maintain pathology files.
  • Provide pathologists with physician requests/information.
  • Prepare slides/blocks for Peer Review, selecting slides that represent complex cases and providing the surgical protocol.
  • Handle professional billing by identifying documentation for special stains and/or immunohistochemical stains, and interacting with the Pathology Medical Billing Group for corrections.
  • Research and correct errors in technical billing, documenting specimen request details and notifying Histology personnel.
  • Process physician orders received via fax, determining tissue block adequacy for requested testing and identifying alternative samples if previous testing failed.
  • Work with reference lab representatives to stay informed about new testing, ordering tests by completing requisition forms with technical information.
  • Prepare slides/blocks for Tumor Board meetings, including receiving requests, pulling slides from storage, preparing trays with selected slides and pathology reports, and coordinating with the pathologist scheduled for the meeting.
  • Handle legal cases, including communicating with attorneys, law enforcement, and Risk Management/Health Port staff, obtaining validity and approval of requests, retrieving specific materials, completing pathology material inventories, and notarizing documents as required.
  • Perform other duties as assigned.
