About The Position

The Patent Administrative Assistant is responsible for providing support to IP attorneys and technology specialists in the Patent Prosecution Department necessary to meet time-driven deadlines in the preparation of client correspondence and the electronic filing of correspondence. The Intellectual Property Administrative Assistant is also responsible for various administrative tasks, including but not limited to calendar management and travel management for attorneys and technology specialists.

Requirements

  • Bachelor's Degree required
  • One year of experience in a professional services environment
  • Professional demeanor and the ability to maintain confidentiality and discretion dealing with sensitive information and client matters
  • Meet deadlines with minimal supervision and to work analytically, as well as the capability to work both independently and as part of the team
  • Maintain composure in a high-pressure, fast-paced multi-authority environment
  • Demonstrate the highest level of confidentiality with client and attorney information
  • Excellent prioritization and organizational skills
  • Quickly and proactively identify and analyze problems, develop solutions, and deliver results
  • Flexibility and willingness to work on various assignments, with various attorneys and staff, including overtime as needed
  • Strong written and verbal communication skills
  • Mastery of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) as well as comfort with technology and the ability to learn new software and applications

Responsibilities

  • Support and assist patent attorneys, technology specialists and paralegals in the preparation of correspondence to clients relating to all stages of patent prosecution
  • Prepare and file Information Disclosure Statements (IDS), assignments, declarations, and powers of attorney documents with the US Patent and Trademark Office (USPTO)
  • Maintain document management system for IDS references
  • Accurately create, edit, format and produce Word, Excel, Adobe, and PowerPoint documents
  • Update and maintain correspondence in firm document management system (FileSite), electronic file wrapper system (EFW), and client portals, as needed
  • Create new business forms
  • Complete and submit Expense Forms via Chrome River, prepare check requests, and invoices, and submit in a timely manner
  • Other projects and duties as assigned
