About The Position

This role involves assisting walk-in and phone customers with selecting and purchasing parts, suggesting related items, and ensuring customer satisfaction. The position requires accurate documentation of all sales, credits, and returns, as well as maintaining a professional attitude towards customers, management, and coworkers. The Parts Counterperson will also be involved in inventory management, promoting sales, and learning various aspects of the parts department operations.

Requirements

  • Valid operator's license and good driving record.
  • Adherence to dress code as per policy information book.
  • All overtime to be approved by supervisor.
  • Tardiness will not be tolerated and will be documented.

Responsibilities

  • Assist walk-in customers in selecting required parts, suggest companion requirements, offer specials, and ensure customers are aware of the full product line.
  • Determine availability of parts not in stock and submit emergency orders if requested.
  • Meet and greet customers immediately upon arrival.
  • Answer incoming customer phone calls promptly and politely.
  • Resolve customer disputes in a manner beneficial to both the customer and the company.
  • Make weekly telemarketing calls to assist in monthly sales goals.
  • Promote additional sales by suggesting related parts or services and mentioning current specials.
  • Discuss and define purchase terms with customers (cash, COD, charge, PO, fleetpack, warranty).
  • Notify parts manager of new customers and provide necessary information.
  • Obtain sufficient information from customers or service technicians to ensure the correct part is specified, noting any exceptions.
  • Invoice all parts purchases, credits, etc., at the time of sale, ensuring all invoices are collected or properly documented.
  • Record pertinent information on invoices, including RC numbers, RR numbers, PO numbers, shipping information, reference invoice numbers for credits, engine serial numbers, arrangement numbers, and control parts list numbers.
  • Charge customers for freight charges incurred whenever possible.
  • Ensure all charge sales are signed by the customer.
  • Obtain necessary information for tax-exempt sales.
  • Issue full credit to customers only when the vendor has determined full credit is due, crediting the customer with any lesser amount received from the vendor.
  • Reference credit memo numbers on receiving records with any notations of shortage or special circumstances.
  • Ensure customers receive credits in a timely fashion.
  • Obtain Request for Credit (RC) from parts processing clerk when ordering parts with a core charge.
  • Provide all information to the parts processing clerk for RC processing as it becomes available.
  • Bill core charge to the customer unless the core is returned and acceptable at the time of purchase.
  • Tag return cores with all pertinent information and check cores promptly to ascertain credit due.
  • Notify customers of any additional charges on cores.
  • Issue a Receiving Record (RR) when unable to issue credit for returned parts/cores.
  • Issue Purchase Order (PO) for all parts and/or services requiring company payment.
  • Record all necessary information on POs at the time of order.
  • Record lost sales on any item purchased locally not posted to inventory.
  • Record lost sales when a customer requests an item not sold due to lack of inventory.
  • Place customer pick-up parts in the will-call area and create a pick ticket.
  • Check for existing holds for a customer and staple pick tickets together if multiple orders exist.
  • Project a positive, helpful, and professional attitude toward management and coworkers.
  • Use approved discrepancy form to notify parts processing clerk of inventory discrepancies.
  • Participate in Company-sponsored training.
  • Keep current on new products and product updates.
  • Follow all safety guidelines and report unsafe conditions or practices.
  • Rotate 'specials' monthly.
  • Assist with all phases of parts ordering, including recording stock-outs, preparing cores, and recommending products.
  • Assist in shipping and receiving.
  • Rotate on the back counter and help during rush periods.
  • Keep front counter areas clean and uncluttered.
  • Help keep the department clean and free from debris.
  • Learn skills of other interacting positions within the department.
  • Perform any other tasks or duties as required.
