About The Position

At Cox Automotive, we’re hiring a Parts Coordinator I to join our Vehicle Services Support team. This role is responsible for ordering parts and providing the best customer experience. The Parts Coordinator will assist internal customers with their needs for parts, cost estimates, and procurement timelines. They will also support vendors and technicians, manage parts inventories for mobile technicians and service trucks, perform cycle counts, and redistribute or return unused parts. Additionally, the role involves ordering parts, performing part runs, delivering inventory to technicians, and handling shipping and receiving duties. Communication with vendors for purchase order approvals and billing questions, maintaining paperwork, and uploading it into the system are key responsibilities. The Parts Coordinator will also create and catalogue inventory reports, perform cycle counts and inventory checks, and track/update parts in the system and in the field. Providing excellent customer service and maintaining a safe and compliant working environment are essential. Attendance at management meetings may be required.

Requirements

  • High school diploma or GED and 1+ years of experience in a commercial/diesel vehicle repair shop and/or fleet service department as a Parts Associate; or equivalent combination of education and work-related experience.
  • Confident with numbers, ability to add, subtract, multiply, and divide in all units of measure. Use fractions, and decimals.
  • Rock solid organizational and time management skills, and an almost obsessive attention to detail.
  • Strong computer skills, requires knowledge of Microsoft Office Suite.
  • Ability to learn new systems quickly, (such as IT Systems, including Web Wrench, MobileFrame, and RO Writer).
  • Must clear a pre-employment drug test.
  • Must be able to work at a specified Cox location.
  • Must be authorized to work in the United States for any employer without current or future sponsorship.

Nice To Haves

  • Some Automotive Parts experience is helpful.
  • Mechanical savvy, as well as the ability to learn about new parts and processes.

Responsibilities

  • Answer calls and emails, assisting internal customers with their needs for parts, cost estimates, and procurement timelines.
  • Support incoming correspondence, calls, and tasks with vendors and technicians in a timely manner.
  • Manage the parts inventories assigned to mobile technicians and service trucks, perform cycle counts and redistribute any unused parts to other technicians or return them to vendors.
  • Order parts, perform part runs, deliver inventory to technicians in the field, and perform duties around shipping and receiving.
  • Connect with vendors via email, fax, or phone to provide or obtain purchase order approvals and discuss any billing questions.
  • Keep up with all necessary paperwork and upload it into the system.
  • Create and catalogue weekly and monthly inventory reports, as well as perform accurate cycle counts and inventory checks.
  • Track and update parts in the system and in the field.
  • Provide excellent customer service, going above and beyond internal customers’ expectations.
  • Maintain a safe and compliant working environment.
  • Attend management meetings that require your presence.
