About The Position

The Parts Administrator performs responsible work ordering and purchasing automotive parts for a large facility. This individual is responsible for maintaining a parts inventory and all pertinent records. Duties involve working with several mechanics, shop supervisors, and Fleet Manager. The work is performed under the general supervision of the Fleet Manager.

Requirements

  • Considerable knowledge of automotive, Class 8, semi-trucks, trailers, diesel engines, and heavy equipment parts identification.
  • Ability to work independently and use outside resources to find unique parts.
  • Ability to establish and maintain effective working relationships with other employees and vendors.
  • Ability to be well organized and maintain inventory of parts.
  • Communicate effectively.
  • High school diploma or GED.
  • 2 years of related experience in ordering automotive parts.
  • 10-year criminal background search.
  • Clean driving history.
  • Pre-employment drug screen.
  • Valid Driver's License (REAL ID).

Responsibilities

  • Ordering and purchasing automotive parts for a large facility.
  • Maintaining a parts inventory and all pertinent records.
  • Working with mechanics, shop supervisors, and the Fleet Manager.
  • Ensuring and enforcing safety policies inside the Maintenance Facility.
  • Ensuring employee, vendor, and visitor compliance with regard to PPE.
  • Adhering to the company dress code and policies.
  • Keeping work orders current with parts and assisting with work orders in truck tracker.
  • Receiving items, checking them in, confirming completeness, and distributing them to the correct personnel.
  • Following up on task assignments.
  • Ensuring availability of parts and supplies for each vehicle/equipment.
  • Keeping a perpetual inventory.
  • Tracking shipping information on all parts requests.
  • Managing all vehicle EZ Pass/Best passes, including leased and owned vehicles.
  • Assisting DOT with vehicle registrations as necessary.
  • Reviewing, following, and complying with the parts budget, including submitting accurate inventories to the finance department for reconciliation.
  • Assisting with establishing a parts budget.
  • Seeking the best possible costs while ordering parts.
  • Supporting crews on the road with part requests.
  • Establishing and maintaining vendor relationships and continually searching for new vendors and cost-saving opportunities.
  • Communicating directly with the Shop Supervisor and Fleet Manager on repair parts needed.
  • Ensuring invoices are closed and prepared for Accounts Payable in a timely manner.
  • Streamlining and approving the request, approval, and tracking process of repair parts.
  • Upholding purchasing policies and standards.
