About The Position

The Parts Administrator manages parts requests, purchasing, inventory, and related records to support timely truck maintenance and repairs. This position takes ownership of technician requests from initial submission through receipt and keeps the Maintenance Manager informed of delays.

Requirements

  • High school diploma or GED.
  • Valid driver’s license.
  • At least two years of inventory control or parts management experience.
  • Experience using Microsoft Office.
  • Strong attention to detail, problem-solving, and decision-making skills.
  • Ability to communicate effectively with technicians, managers, vendors, and other internal and external customers.
  • Strong work ethic, integrity, and reliability.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to read, write, and understand reports, work orders, and related documents.
  • Ability to follow written and verbal instructions, prioritize tasks, and meet time-sensitive deadlines.
  • Flexibility to adapt to changing priorities and a commitment to continuous improvement.
  • Knowledge of applicable safety regulations and proper lifting techniques.
  • Valid work authorization in the country where the job is located is required.

Responsibilities

  • Monitor technician parts requests daily and manage each request through receipt. Obtain missing information directly from technicians to keep requests moving.
  • Track orders, delivery dates, and backorders. Notify the Maintenance Manager of issues that could delay repairs.
  • Order parts and materials through the company’s internal system and expedite parts and services as needed.
  • Obtain quotes and evaluate vendors based on pricing, availability, and service. Recommend cost-saving opportunities to the Maintenance Manager.
  • Verify received parts against purchase order specifications, then receive, label, and assign them to the correct truck or inventory location.
  • Maintain appropriate inventory levels within budget and keep storage areas clean, organized, and clearly labeled.
  • Perform physical inventory and cycle counts, reconcile discrepancies, and complete monthly, quarterly, and annual audits.
  • Track reserved parts, aged inventory, returns, cores, and warranty credits. Maintain required warranty documentation.
  • Maintain accurate parts transactions in M5 and reconcile purchase orders, receipts, and invoices.
  • Process vendor repair orders, investigate billing discrepancies and disputes, and coordinate corrections.
  • Support maintenance records and work-order administration.
  • Follow company policies, safety procedures, and applicable environmental requirements, including recycling and energy conservation practices.
  • Perform other duties as assigned.
