About The Position

The Partners in Tourism Coordinator will support the activities that drive success for nearly 650 Partners in Tourism businesses. This position interfaces with a variety of hospitality business sectors, community, and industry organizations. The Partners in Tourism program manages hospitality relationships representing attractions, restaurants, nightlife, hoteliers, and service providers who represent Charlotte’s fourth largest industry and employs 1 in 9 residents. The Partners in Tourism Coordinator requires an individual who is highly organized, self-motivated and can effectively manage multiple priorities while meeting deadlines. The role is directly responsible for partner onboarding, relationship management, CRM administration, event coordination, communications, and departmental administrative support, including invoicing, expense reconciliation, and payment tracking.

Requirements

Ability to read, analyze, and interpret business reports to make informed decisions.
Ability to write reports, business correspondence, and procedure manuals.
Ability to effectively present information and respond to questions from various levels of management.
Ability to solve practical problems and deal with a variety of concrete variables in various situations.
Knowledge of Microsoft Office Suite.
Ability to anticipate customer needs, builds positive relationships with customers and vendors, goes the extra mile to satisfy and exceed customer needs, treats all customers and vendors with highest degree of respect and courtesy, and delivers exceptional service to both internal and external customers.
Excellent written and verbal skills.
High level of proficiency in Microsoft Office (Excel, Word and PowerPoint). Outlook is a must.
Must have a valid driver’s license for site inspections, partner meetings and events.

Nice To Haves

Associate or Bachelor’s Degree is preferred.
One (1) year of experience in related field preferred or an equivalent combination of education and work experience.
Experience in SimpleView CRM is preferred.

Responsibilities

Works with Partnership team to foster strategic relationships with all CRVA Partners to make sure they understand and see the ROI of the program.
Approaches partners in a service-oriented manner to understand their needs, assists with making connections and works with them to solve problems.
Serves as a trusted resource for partners by responding to inquiries, identifying needs, facilitating connections, resolving issues, and providing exceptional customer service.
Research and identifies prospective partners to support departmental initiatives and partnership growth.
Coordinates the onboarding of new partners by processing partnership agreements, maintaining contact information, creating website listings, processing payments, and preparing welcome communications.
Maintains accurate CRM records, including partner interactions, site visits, traces, contact information, and prospective partner leads; develops reports, partner lists, and database searches to support departmental and organizational needs.
Monitors partner news, awards, anniversaries, and milestones to support partner recognition and retention efforts.
Leads partner communications through the monthly partner newsletter, Convention & Event Alert, mass email communications, and the department content calendar for the partner extranet and LinkedIn.
Manages partner website listings by creating and updating listings, troubleshooting extranet access and listing issues, auditing RootRez listings, and ensuring partner information remains accurate across platforms.
Supports the Director in fulfilling Hospitality Champion partnerships by tracking proposal commitments and activation deliverables.
Serves as the primary internal resource for partner list requests and collaborates with the Destination Services team to maintain accurate vendor listings for meeting planners.
Tracks and reports partner exposure and engagement across social media platforms and other departmental initiatives.
Supports departmental financial administration by processing partner payments, tracking payment plans, creating invoices, reconciling expenses, and maintaining accurate financial records.
Coordinates and distributes the monthly Convention & Event Alert in collaboration with the Destination Services team for partner and Board of Directors communications through the Executive Leadership Team.
Supports the planning and execution of monthly partner events, annual Partners in Tourism Awards, site visits, and community and industry events while professionally representing the CRVA.
Leads Podio project management for long-term departmental initiatives, including the annual Partners in Tourism Awards, ensuring projects remain organized, current, and on schedule.
Maintains a high level of accuracy, professionalism, and attention to detail in all correspondence, documentation, and partner interactions.
Provides proactive administrative and operational support to the Partnership team by anticipating needs, managing priorities, and ensuring day-to-day activities and departmental initiatives are executed efficiently.
Exhibits a professional and engaging demeanor in face-to-face, email and phone conversations.
Complies monthly partner newsletter.
Leads and implements the department content calendar which supports partner relation initiatives through appropriate communication channels that include: the extranet and LinkedIn.
Attends appropriate business events and community functions as assigned by Director.
Assists with other duties as assigned.
