About The Position

Reporting to the Manager, Advisor Services, the Partner Support Specialist, Reconciliation is responsible for reconciling assets transferred in for our newly onboarding advisors and ensuring accuracy. This role involves providing regular updates on the reconciliation progress to the advisor team, ensuring a smooth transition for clients. The Transfer Associate plays a key role in resolving any discrepancies and maintaining accurate records.

Requirements

  • Must be legally eligible to work in Canada.
  • A background check, satisfactory to the employer, may be required of the successful applicant prior to commencing employment.
  • Must be able to travel within Canada 0-5% of the time.
  • 1+ years’ experience in a customer/client service facing role.
  • High level of proficiency in Microsoft Office (especially Excel).
  • Familiarity with external transfer systems (e.g., ATON, CDS, DTC) or willingness to learn.
  • Exhibit high accountability, reliability, adaptability, and innovation in achieving both daily tasks and long-term goals.

Nice To Haves

  • Bachelor’s degree or diploma in Business Administration, Finance, or a related field preferred; or an equivalent combination of education and experience.
  • Minimum of 1-3 years of experience in the financial services industry, ideally in a role involving external transfers, custodial operations, or advisory support is considered an asset.
  • Valid CSC/CPH or Canadian Investment Regulatory Exam (CIRE) is considered an asset.

Responsibilities

  • Reconcile, track Match assets received in transferred accounts with client statements to ensure accuracy and follow up with the custodian (NBIN) for any missing or unaccounted-for assets.
  • Offer weekly status reports on reconciliation progress to the transitioning advisor teams and interact with them as needed to provide updates and respond to questions.
  • Ensure accurate management of Book Value by NBIN, periodically reconciling and updating records as needed.
  • Keep organized records and maintain documentation of all asset transfers and reconciliation efforts.
  • Collaborate closely with other reconciliation team member(s) and the transition pod team to provide updates on common findings, such as missing assets, and escalate to manager any significant issues related to missing positions for a specific transitioning advisor.
  • Provide weekly updates to the Manager on the reconciliation progress related to the transitioning advisor teams, including an overview of current tasks and an estimated completion timeline for each transfer.
  • Identify and propose improvements to the asset transfer and reconciliation processes to increase efficiency or reduce errors.
  • Work closely with the firm’s Transition Team, internal department, and external partners like NBIN to resolve issues and ensure smooth transfers.
  • Collaborate with the Manager to develop expertise in specific areas and provide support to streamline departmental processes.
  • Perform other duties as assigned and additional tasks related to advisor support and operational processes.
