About The Position

Part-time Property Manager for Stoney Pine Villas, a HUD 811 PRAC Community, and Sunnyvale Senior Housing, which includes three scattered Senior Housing properties. Requirements

  • High school diploma or equivalent required.
  • Prior property management experience is required.
  • No less than two years of experience at a HUD Section 8 or 811 PRAC property.
  • A minimum of three years of experience performing on-site property management and administrative duties as a Property Manager and/or Assistant Property Manager, or an equivalent combination of education, training, and experience.
  • HUD experience required.

Nice To Haves

  • COS (Certified Occupancy Specialist) or BOS (Blended Occupancy Specialist) designation desired.

Responsibilities

  • Oversee and maintain Stoney Pine Villas (22 special needs units for developmentally disabled adults) and nine Senior Housing units across three scattered sites in Sunnyvale.
  • Maintain property occupancy by marketing vacancies, leasing units, preparing and enforcing leases.
  • Maintain and secure properties in accordance with HOME regulations, Santa Clara County Housing Authority requirements, Charities Housing policies, jurisdictional partner requirements, and HUD program guidelines.
  • Apply appropriate rental rates and work with the Housing Authority to ensure subsidies reflect market changes.
  • Administer and maintain the waiting list.
  • Show units to prospective tenants, answer questions about the tenant selection process, and provide leasing materials.
  • Administer and review criminal and credit background checks for applicants, ensuring compliance with legal requirements and determining eligibility.
  • Conduct initial and annual recertifications for Stoney Pine Villas and the Sunnyvale senior homes.
  • Process applications and forward approved applicants to the Housing Authority for Project Based subsidized units.
  • Maintain physical tenant files in compliance with applicable affordable housing programs.
  • Keep software systems, specifically Yardi Voyager, current.
  • Prepare and submit weekly and monthly operational reports to management.
  • Conduct move-in and move-out inspections, coordinate unit turnovers, document activity in tenant files, and communicate with the Housing Authority and other parties regarding notices to vacate and vacancies.
  • Work with legal counsel on unlawful detainers or evictions after obtaining approval.
  • Investigate and resolve tenant complaints by enforcing lease agreements and house rules.
  • Document lease violations and issue appropriate notices to tenants, adhering to Fair Housing standards.
  • Collect operational data, prepare reports for management and City jurisdictions, and meet with auditors.
  • Collaborate with service providers to support resident retention and enhance the living experience.
  • Maintain a timely rent collection process, assess late fees, and serve legal notices when necessary.
  • Post rents into Yardi in a timely manner.
  • Maintain low to zero bad debt and keep tenant ledgers current and accurate.
  • Process rent changes in a timely manner.
  • Participate in the preparation of annual budgets, schedule expenditures, analyze variances, and initiate corrective actions.
  • Conduct annual unit inspections.
  • Create work orders in Yardi, schedule required work, and close work orders upon completion.
  • Ensure work orders are prioritized and addressed promptly.
  • Solicit and review vendor proposals and contracts for approval.
  • Ensure security, fire, and safety devices are properly maintained.
  • Ensure all common areas of the properties are well-kept and maintained.
  • Oversee the preventative maintenance schedule and related work for all sites.
