About The Position

Perform highly responsible and confidential administrative work to support the Office of the General Counsel and ensure the efficient operation of the office by providing secretarial assistance as well as coordination and management of office processes and procedures. Handle confidential and sensitive information and maintain positive interactions with both internal personnel and external parties.

Requirements

  • Associates Degree or Paralegal Certificate
  • Proficient software experience with Microsoft Office Suite and web-based applications
  • Proficient file maintenance skills
  • Excellent organization, communication, and interpersonal skills
  • Initiative and good judgment in working with public, employees, and administrators
  • Excellent clerical skills with productivity under pressure
  • Expertise with copier, fax machine, and computer operations
  • Experience with budgets and general bookkeeping

Responsibilities

  • Provide support to the Deputy General Counsel and staff attorneys including preparing routine and complex correspondence, agendas reports and presentations ensuring their accuracy and completeness.
  • Track and respond to strict deadlines, including case filing and response deadlines, discovery and disclosure deadlines and Texas Public Information Request timelines.
  • Place and receive telephone calls and accurately record messages.
  • Maintain a schedule of appointments, meetings, mediations and hearings.
  • Organize and maintain legal files as well as process and distribute mail.
  • Reserve facilities, as needed, for meetings, conferences, training, mediations and hearings.
  • Make travel arrangements for Deputy General Counsel and staff attorneys.
  • Complete employee expense reimbursements as well as warehouse and print shop orders.
  • Act as a liaison between employees who report to the Deputy General Counsel and the Deputy General Counsel.
  • Keep the Deputy General Counsel apprised of emerging situations requiring attention.
  • Preserve the confidentiality of information in communications and the handling of legal files/records, personnel actions, and similar items.
  • Facilitate communications among and between departments and campuses, as appropriate.
  • Assist with organizing and preparing documents for the District’s responses to discovery, subpoenas, data requests, public information requests, hearings and investigations by outside agencies.
  • Document and maintain the list of individuals who intend to speak during Open Forum at Board meetings.
  • Assist the Deputy General Counsel and staff attorneys in preparing for due process hearings other litigation matters and mediations.
  • Learn the basic tenets of the Public Information Act in order to assist the Deputy General Counsel and staff attorneys in reviewing requests and responses.
  • Utilize district-adopted software systems including, but not limited to, those related to employee attendance, professional learning, and student management.
  • Encourage teamwork, collaboration and partnership within the department to accomplish common goals aligned with district policies and strategies.
  • Notarize documents as required and maintain notary status.
  • Perform all other specified duties as assigned.
