About The Position

To provide professional and efficient clerical support to the facility, resulting in the delivery of excellent internal and external customer service. First level of support for facility security and participant, staff and visitor safety. The Receptionist greets, welcomes, and directs visitors appropriately and notifies associates of visitor arrival. The Receptionist maintains the telecommunications system, including screening and directing incoming calls, and taking messages. Assists the Center Director, and other associates with tasks as assigned in compliance with all applicable federal, state, local, and home office requirements.

Requirements

  • High school graduate or equivalent
  • One year previous experience in bookkeeping and/or receptionist duties
  • Medical clearance for communicable diseases and up-to-date immunizations, before having direct participant contact
  • Experience in receptionist duties in a health care setting
  • Experience working with the elderly population
  • Current American Heart Association Basic Life Support (BLS) with Automated External Defibrillator (AED) certificate or obtain within two weeks of hire, before having direct participant contact

Responsibilities

  • Updates community phone directory and maintains an accurate list of emergency telephone numbers, including key personnel and medical staff.
  • Receives, sorts and forwards incoming mail; receives and routes packages.
  • Processes outgoing facility mail.
  • Opens and routes A/P and AIR.
  • Organizes, files, and maintains all business office records.
  • Assumes responsibility for designated clerical and receptionist duties at the front desk.
  • Receives incoming telephone calls, screens for correct transfer and connects with appropriate personnel.
  • Greets and directs visitors; greets, screens and directs salespersons as advised.
  • Monitors for building safety and initiates emergency response when necessary.
  • Orders, stocks and maintains office supply storage area and copiers; calls for service when needed.
  • Maintains accurate participant and personnel contact information.
  • Maintains an efficient, well-run business office, helping with or taking on other tasks as needed.
  • Ensures quality customer service to the residents, families, and staff that the department serves.
  • Maintains up-to-date and appropriate documentation in the participant's electronic medical record.
  • Participates in interdisciplinary team meetings, communicating participant changes, collaborating on care planning decisions and coordination of 24-hour care.
  • Participates in in-service training and staff meetings.
  • Performs other duties as assigned.
