About The Position

The Outreach Coordinator supports the execution and administration of Illuminate Community Church’s outreach and care ministries. Working under the direction of the Outreach Director, this role coordinates volunteers, events, communications, ministry resources, and follow-up processes that help the congregation share the gospel, serve the community, and compassionately care for others. The Outreach Coordinator assists with community outreach initiatives, the Food Truck Ministry, the volunteer-led Global Outreach Committee, care and recovery ministries, benevolence administration, and counseling-resource coordination. This position helps ensure that these ministries are organized, communicated, documented, and carried out with excellence.

Requirements

  • Knowledge of the mission of the local church and principles of evangelism, discipleship, compassionate care, and community engagement
  • Knowledge of volunteer coordination, event planning, customer service, and administrative practices
  • Knowledge of Microsoft Office applications, church management systems, and digital communication tools
  • Knowledge of basic budgeting, expense tracking, recordkeeping, and organizational systems
  • Knowledge of appropriate confidentiality, safety, and ministry-care boundaries
  • Demonstrated competency in coordinating events, projects, volunteers, schedules, and ministry details

  • Experience working in a multi-staff church, nonprofit, or service-oriented environment preferred

Responsibilities

  • Coordinate the day-to-day execution of outreach initiatives, events (Serve Month), projects, and serve opportunities under the direction of the Outreach Director.
  • Assist with Food Truck Ministry scheduling, volunteer communication, logistics, supplies, documentation, and follow-up.
  • Serve as a source of outreach information for weekend services, volunteers, and ministry leaders.
  • Maintain accurate outreach information for printed materials, the church website, internal communication platforms, and available serve opportunities.
  • Promote upcoming outreach opportunities and coordinate outreach participation in the Welcome Lunch and other church environments.
  • Maintain regular communication with designated community partners and assist with partnership events, requests, and follow-up.
  • Help identify potential outreach opportunities and partnerships for consideration by the Outreach Director.
  • Provide administrative, scheduling, communication, and logistical support to the volunteer-led Global Outreach Committee.
  • Assist with committee meetings, ministry updates, events, trips, volunteer communication, documentation, and approved promotional activities.
  • Track global outreach expenses and budget activity and communicate questions or anticipated variances to the Outreach Director.
  • Recruit, onboard, schedule, communicate with, and support volunteers serving throughout outreach and care ministries.
  • Maintain accurate volunteer rosters, schedules, training records, background-check information, and required documentation.
  • Assist with volunteer orientations, training opportunities, resources, and ongoing encouragement.
  • Help volunteers connect with appropriate opportunities based on their interests, gifts, availability, and ministry requirements.
  • Promote a healthy volunteer culture characterized by spiritual growth, relational connection, ownership, excellence, safety, and accountability.
  • Provide administrative and logistical support for Celebrate Recovery, Stephen Ministries, GriefShare, and other assigned care ministries.
  • Assist ministry leaders with scheduling, communications, participant materials, volunteer coordination, supplies, and follow-up.
  • Receive care requests with compassion and discretion and route them to the Outreach Director, a pastor, a trained care provider, or another appropriate resource.
  • Maintain current information regarding vetted, independently licensed counselors and other professional and community care resources.
  • Assist with the intake, documentation, scheduling, and follow-up of benevolence requests while referring assistance decisions to authorized leaders.
  • Maintain appropriate boundaries between church-based care and licensed clinical care and follow applicable safety, confidentiality, and mandatory-reporting requirements.
  • Assist with the coordination and execution of weddings and funerals, including scheduling, communication, facility logistics, materials, and volunteer support, under the direction of the Outreach Director and pastoral staff.
  • Assist the Outreach Director with annual ministry plans, calendars, goals, budgets, and project timelines.
  • Maintain organized ministry records, contact lists, forms, calendars, supplies, and follow-up systems.
  • Track participation, volunteer engagement, event outcomes, expenses, and other information needed for ministry evaluation.
  • Prepare routine reports, ministry updates, volunteer communications, and meeting materials.
  • Process approved purchases, reimbursements, registrations, and invoices in accordance with church procedures.
  • Help ensure that outreach and care activities comply with applicable Finance, HR, safety, confidentiality, and communication policies.
  • Participate in weekend services, required staff meetings, holiday services, special events, and broader church initiatives as assigned.
  • Maintain a flexible work schedule that may include evenings and weekends based on ministry needs.
