About The Position

Under general supervision, this role is responsible for providing oversight and support to the employees of Friends of Oakland Animal Services (FOAS) who work at Oakland Animal Services (OAS). These FOAS employees are made up of team members who support programs such as the Adoption, Foster, Playgroups, Small Animals, Transfer, Community Outreach, and other lifesaving programs. The Outcome Team Manager focuses on three primary areas: (1) providing supervision and support to the employees of FOAS who work at OAS; (2) serving as a liaison between the team at OAS and the FOAS administrative team; and (3) providing guidance and leadership to help grow and strengthen lifesaving programs to help people keep their pets and save shelter animals. The ideal candidate will be passionate about working in an under-resourced municipal shelter and have familiarity with model programs for engaging the community to support animal lifesaving. They will have excellent emotional intelligence and experience managing and building successful teams. They will be highly organized, collaborative, flexible, and able to work well in a fast-paced team environment. The Outcome Team Manager is a FOAS employee who works at OAS in coordination with OAS (City of Oakland) staff.

Requirements

Minimum of 3 years supervisory experience.
Experience with coordinating teams of staff and/or volunteers.
Experience with creating/improving processes and systems.
Commitment to the mission, goals, and success of Oakland Animal Services and Friends of Oakland Animal Services.
Ability to work collaboratively with multiple teams, including building relationships and facilitating communication between diverse teams.
Experience with staff supervision, coaching, and performance management.
Strong conflict resolution and interpersonal skills, with the ability to remain calm and objective in urgent or complex situations.
Effective at seeing the bigger picture and aligning team efforts and programs with broader organizational objectives.
Strong ability to organize and prioritize work in a dynamic environment.
Ability to be flexible and adapt effectively to changing needs and priorities.
Familiarity/experience with and comfort around handling animals.
Ability to maintain a safe and professional work environment for staff and animals.
Ability to navigate and operate safely in an animal shelter environment, which may include performing occasional physical tasks as needed to support staff or operations (e.g. opening/closing cages, loading supplies, etc.).

Nice To Haves

Experience developing and/or leading programs within the animal welfare industry (e.g. foster program, adoption program, etc.) strongly preferred.
Experience in a municipal/government animal shelter preferred.
Associate’s degree or equivalent from an accredited college or technical school preferred.

Responsibilities

Supervise and manage FOAS programs staff, ensuring they receive adequate training, direction, and support to perform their duties effectively.
Act as the direct point of contact for FOAS staff at OAS (“staff”), addressing any day-to-day concerns.
Actively engage in fostering a positive, communicative, and collaborative work environment through their own leadership, collaboration, and intentional team-building and engagement efforts.
Assess staff performance and provide timely feedback on a regular basis.
Provide coaching and identify learning resources to help staff strengthen skills and address growth areas.
Actively participate in the recruitment process, including interviewing and coordinating candidates, consolidating interviewer feedback, etc.
Develop and manage a welcoming, effective onboarding experience for new staff.
Oversee staff schedules, including approving time off requests and overtime requests, ensuring timely and accurate completion of timesheets, etc.
Ensure accurate documentation of organizational processes and staff records.
Ensure that staff adhere to OAS and FOAS policies and procedures, and complete required training, administrative tasks, and other organizational requirements in a timely manner.
Serve as the primary conduit between OAS and FOAS for all programs staff.
Work collaboratively with the FOAS ED/Deputy Director and the team at OAS to ensure alignment of FOAS programs with the goals of FOAS and OAS.
Report regularly to both the FOAS and OAS leadership on the performance of staff and status of each program.
Oversee the overall operation of shelter-based FOAS programs, ensuring they run efficiently, effectively, within budget, and in alignment with FOAS and OAS goals.
Continuously assess programs’ performance, identifying any gaps or areas needing improvement.
Monitor and assess the resources/supplies needed by each program, ensuring that all programs have the necessary supplies/materials to operate effectively, while adhering to the budget.
Proactively identify opportunities for program improvement and growth, working with staff and OAS leadership to prioritize, develop, and implement strategies to address emerging needs, streamline processes, and introduce future improvements.
