About The Position

The Office of Undergraduate Education (OUE) at UW Tacoma is seeking a detail-oriented, service-oriented Program Assistant to serve as the backbone of its student testing operations. This is a cyclical position with a 10-month service period from September 1 through June 30 each year, with the position on leave from July 1 through August 31. The role is the primary point of contact for placement testing, including self-directed math and writing assessments, Spanish placement, and make-up exams. It requires someone who brings both organizational rigor and genuine warmth to their work, as students often arrive for tests anxious. While the Program Assistant includes administrative and clerical responsibilities, testing coordination has grown significantly and is now the core of this position.

Requirements

  • High school graduation or equivalent AND two years of clerical experience.
  • Excellent customer service orientation and interpersonal skills.
  • Strong written and verbal communication skills, with exceptional attention to detail and accuracy.
  • Demonstrated proficiency with Microsoft Office suite.

Responsibilities

  • Schedule, proctor, track, record, and report on all student placement tests (math, writing, Spanish, and make-up exams), including fee-based testing for non-UWT students
  • Submit placement scores to the Registrar and manage entry code distribution to support course registration
  • Serve as the go-to resource for students and faculty with questions about testing procedures and policies
  • Exercise independent judgment and sensitivity when working with students who are nervous or uncertain about their options
  • Monitor and respond promptly to OUE email accounts daily
  • Collaborate with undergraduate advisors, pre-major advisors, and the student affairs office as needed
  • Provide clear, accurate information to students, staff, and the public; redirect to appropriate resources when needed
  • Assist with budget reconciliation and receipt filing
  • Maintain and organize files on SharePoint; track task completion
  • Coordinate hiring and onboarding of work-study students
  • Support distribution of course syllabi and course evaluations
  • Assist with scheduling, room requests, event planning, and campus mailings
  • Create agendas, take meeting minutes, and provide general meeting support
  • Build and administer surveys; analyze results and produce reports, charts, and graphs drawing on both qualitative and quantitative data
  • Assist with regular updates to the OUE website (Drupal)
  • Conduct research in support of OUE programs as needed
