About The Position

The Program Coordinator is a key member of the residency program leadership team and oversees the administrative and operational management of the ACGME-accredited Orthopaedic Surgery Residency Program. In partnership with the Program Director and departmental leadership, this role ensures compliance with ACGME accreditation standards, institutional policies, and regulatory requirements while supporting the program’s educational mission and daily operations. The Program Coordinator serves as a primary liaison among residents, faculty, institutional GME leadership, and accrediting bodies. In collaboration with the department’s Program Education Assistant, the Program Coordinator provides oversight and communication support for medical student rotations and shadowing opportunities, ensuring alignment with residency program priorities. This position reports to the Department Chair, Division Chief, and Residency Program Director, with direct administrative supervision by the Department Administrator.

Responsibilities

  • Manage daily operations and logistics, including processing new/returning residents, managing state licensure, DEA, DHEC, and other accreditation requirements, scheduling certification classes, organizing lectures and materials, managing the E-value system, preparing reports of resident hours and activities, managing off-site affiliation agreements, maintaining resident files, organizing the annual Siegling Day program and graduation ceremony, and preparing CME paperwork.
  • Coordinate ACGME and accreditation requirements, including maintaining compliance with current ACGME accreditation standards, developing new policies and procedures, coordinating preparations for accreditation site visits, compiling and submitting reports to ACGME, ABOS, FREIDA, and other professional organizations, coordinating the administration of the Orthopaedic In Training Examination (OITE), and overseeing conference schedules.
  • Function as a department liaison with the Graduate Medical Education office and College of Medicine Dean’s office, acting as a clearinghouse for residency issues, proactively communicating with residents, and meeting with the Program Director to provide updates and process improvements.
  • Manage the applicant recruitment process for the Orthopaedic Surgery Program, responding to inquiries, reviewing and compiling applicant records, organizing the resident candidate selection via ERAS, managing the interview process, correlating ERAS data for faculty ranking, planning social activities, and coordinating orientation for new residents.
  • Coordinate the AAOS Annual Alumni banquet, matriculate non-ACGME research residents, organize guest speaker arrangements, organize PGY 1 ABOS Surgical Skills Modules, maintain CME and Trauma CME for faculty, and upload and coordinate letters of recommendation for medical students.
  • Act as a liaison for medical students, assisting with evaluations, grading, and rotations, expediting shadowing and observation opportunities for various students and international doctors, and facilitating orientations for medical students.
  • Organize and manage the intern rotation schedule and monthly call schedule changes for residents, recording call schedules and changes in the Simon on-call system.
