About The Position

Reporting to the Supervisor of Council Services/Deputy City Clerk, this position will be responsible for the preparation of the Order of Business for City Council meetings. This includes preparing by-laws, schedules, council questions, reports, minutes, and communication packages for Council meetings, forwarding them for signature and distributing as required. The role also involves preparing committee reports for Standing Committee Meetings, ensuring notification requirements are met, processing by-laws, operating office equipment, compiling meeting statistics, providing counter and telephone service, researching by-law information, recording by-law amendments, assigning by-law numbers, preparing and distributing Council Agendas, and loading/assisting with the delivery of the Council cart. Additionally, the position ensures by-law amendments are indexed electronically, processes and prepares proclamations/flag raising applications, and performs general office duties, Occupational Health & Safety duties, and other related duties as assigned.

Requirements

  • Must have an Ontario Secondary School Graduation Diploma or Ontario Ministry of Education equivalency
  • Must have over one (1) year of experience in a computerized office environment utilizing the Microsoft Suite of Products (i.e. Word, Outlook)
  • Must have a minimum typing speed of 50 wpm
  • Must have excellent proofreading skills
  • Must be able to work without detailed direction or close supervision and have the ability to interpret written instructions
  • Must have excellent interpersonal and communication skills and have the ability to communicate with difficult customers

Nice To Haves

  • Familiarity with committee, board and commission processes will be considered an asset
  • Experience with records management systems will be considered an asset
  • Experience in a municipal setting is considered an asset
  • Experience using Live Link , Agenda.Net , and updating a website is considered an asset

Responsibilities

  • The preparation of the Order of Business for City Council meetings
  • Preparing by-laws, schedules, council questions, reports, minutes, communication package for Council meetings and forwarding for signature and distributing as required
  • Preparing committee reports for Standing Committee Meetings as required
  • Ensuring that notification requirements are properly adhered to and issued for Council and Standing Committee reports
  • Processing by-laws
  • Operating office equipment, compiling meeting statistics, providing counter and telephone service in answering inquiries
  • Researching information on by-laws
  • Recording by-law amendments and assigning by-law numbers
  • Preparing and distributing Council Agendas
  • Loading and assisting with the delivery of Council cart for Council meetings
  • Ensuring by-law amendments are indexed electronically
  • Processing and preparing proclamations/flag raising applications in accordance with current Council policies and coordinating same
  • General office duties as assigned
  • Performing Occupational Health & Safety duties as outlined in the Corporation’s Health and Safety Program
  • Performing other related duties as required
