About The Position

The Order Entry Coordinator manages the complete ordering process to ensure distributors receive the products they need to support joint selling efforts. This role works closely with distributor purchasing teams and internal cross-functional teams to process orders accurately from initial entry through invoicing, while maintaining a high level of accuracy, documentation, and customer service.

Requirements

  • Proven experience with order entry processes.
  • Hands-on experience using an ERP system, preferably QAD.
  • Strong attention to detail with a high level of accuracy in data entry and documentation.
  • Ability to independently manage and prioritize multiple tasks in a high-paced environment.
  • Excellent oral and written communication skills for interacting with distributors, retailers, and internal teams.
  • Analytical thinking and problem-solving skills to resolve order and shipping issues.

  • Experience collaborating with distributor purchasing teams and key retailers.
  • Experience working with cross-functional teams in a supply chain, sales support, or customer service environment.

Responsibilities

  • Accurately enter customer and distributor orders into the ERP system (QAD).
  • Review all orders for accuracy, completeness, and compliance with established guidelines before processing.
  • Perform all follow-up steps required to ensure each order ships correctly and on time, including updating records and documenting actions taken.
  • Maintain thorough documentation for each order, including order status, changes, and shipping details.
  • Collaborate with distributor purchasing teams to clarify order details, resolve discrepancies, and support their ordering needs.
  • Work with key retailers and internal cross-functional teams to support joint selling efforts and ensure alignment on product availability and order status.
  • Monitor order progress and proactively address issues or delays to minimize service interruptions.
