About The Position

The Operating Room Scheduler is responsible for the coordination, scheduling, and communication of surgical and procedural cases for Augusta Medical Group (AMG) providers. This role ensures accurate and timely scheduling of patient procedures, pre-admission testing (PAT), coordination with surgical teams, anesthesia, vendor representatives, and other key departments. The OR Scheduler may also support administrative tasks such as payroll, staff scheduling, and general office support to maintain efficient clinic operations. The OR Scheduler serves as a key liaison between providers, patients, hospital departments, and vendor partners, ensuring a seamless experience for patients while supporting regulatory and operational requirements. Responsible for ensuring all required documentation—including consents, physician orders, and procedure notes—are obtained, verified, and appropriately scanned or delivered to the OR in accordance with established protocols and timelines.

Requirements

  • High School diploma or equivalent required
  • 1 year Medical Office experience required
  • Proficient in scheduling systems and electronic medical records (EMR)

Nice To Haves

  • Associate’s Degree preferred
  • CMA or LPN Preferred
  • Meditech and/or Athena experience preferred

Responsibilities

  • Accurately posts surgical and procedural cases into the iQueue scheduling system.
  • Verifies all case details, including patient identifiers, procedure specifics, anesthesia requirements, and surgical site/side.
  • Schedules PAT appointments or phone screenings as appropriate based on case type and patient needs.
  • Communicates case details, changes, and add-ons to internal departments, external vendors, and sales representatives.
  • Confirms all necessary documentation (consents, orders, H&P) is received and filed appropriately prior to the procedure.
  • Scans procedural notes and ensures timely and accurate filing within the patient record.
  • Obtains urgent prior authorizations for scheduled procedures.
  • Maintains and monitors the daily OR or procedural schedule, adjusting arrival times based on surgical start times and patient needs.
  • Notifies appropriate departments of schedule updates, changes, or case add-ons.
  • Communicates directly with patients regarding any schedule adjustments or changes in arrival times.
  • Ensures complete, timely, and accurate daily distribution of the OR/procedure schedule to all relevant parties.
  • Attends daily OR Huddle.
  • Demonstrates professionalism and excellent communication skills with patients, providers, and team members.
  • Responds to phone calls promptly and professionally; limits personal calls to maximize productivity.
  • Proactively seeks opportunities to improve patient satisfaction and practice efficiency.
  • Maintains working knowledge of regulatory guidelines, patient privacy laws, and HIPAA compliance.
