About The Position

Schedules all surgeries requested by physicians and physician offices. This role involves accurate data entry of patient information, surgical procedures, and special needs such as equipment and implants. The specialist will also be responsible for daily review and updates of the surgery schedule, entering physician block schedules, and building the surgery schedule in EPIC. Efficient scheduling for block utilization and close collaboration with supply chain for special needs are key aspects of this position. The role also requires scheduling cases with knowledge of limited supply lists to prevent conflicts and active participation in monthly surgery scheduling meetings. Accuracy in assigning ICD 10 codes to diagnosis is essential. The position may require travel to physician offices to assist with scheduling expectations and needs, running reports as needed, and performing other related duties. The specialist will also be cross-trained in the Surgical Department Health Unit Coordinator role and provide coverage as needed. A strong emphasis is placed on serving as a role model for ICARE Values and Behavior Standards, respecting patient privacy and confidentiality, and adhering to HIPPA Privacy and Security procedures and protocols.

Requirements

  • 6 months experience with surgery scheduling
  • Completion of medical terminology test with a passing score of 80%.
  • Strong understanding of ICD 9 and ICD 10 codes
  • Strong communication skills
  • Strong computer skills
  • Knowledge of EPIC
  • Must be self-confident and self-directed

Responsibilities

  • Schedules surgical procedures through physician offices and inter-hospital departments such as radiology, oncology, central scheduling.
  • Accurate data entry of patient information, surgical procedure, special needs: such as equipment and implants
  • Daily review of schedule for accuracy and updates and adjusts accordingly
  • Entering physician block schedules and building the surgery schedule in EPIC
  • Efficient scheduling for block utilization
  • Work closely with supply chain to notify them of special needs for case
  • Schedule cases with knowledge of limited supply list to prevent conflicts
  • Active participant in monthly surgery scheduling meetings
  • Accuracy in assigning ICD 10 codes to diagnosis
  • May need to travel to physician offices to assist with meeting scheduling expectation/needs
  • Runs reports as needed
  • Performs other related duties as assigned
  • Will be cross trained in the Surgical Department Health Unit Coordinator role and provide coverage, as needed.
